The role includes to manage patient admissions, discharges and transfers using PAS, EPR and Teletracking. Maintaining accurate patient information, including next of kin, GP details addresses and demographic data. Printing wristbands and labels as required. Co-ordinate bed management processes including patient badging, equipment requests porter booking and cleaning requirements for bed areas.

Receive, prepare, track, file and maintain patient case notes and documentation for ward rounds, clinics and scanning services Support clinical teams by printing patient records, ward round documentation downtime drug charts and accessing Lifeboat systems during IT outages.Collect and track Patients' case-notes from the Health Records Department, Transit area for clinic patients.

Assisting Nursing staff with processing of patients property and valuables in accordance with policy and procedures and arranging for property to be taken into General Office for safe custody

Organise and book departmental clinics on the PAS system ensuring that all necessary documentation is available and all patient information is correct and amending where needed.

Contacting clinic patients ahead of appointments to ensure they are aware of when and where to come and attach notes to PAS regarding this.

Cash up clinics where required.

Greet patients and arrive them on PAS system, answering any queries they may have and dealing with any general problems they may have during their visit completing EC attendance forms on EPR for FSDEC clinic patients and discharging from EPR when appointment complete.

Arranging ambulance transportation where authorised and if patient does not have own transport or relative support.

Ordering and maintaining ward stationery and supplies through Integra and NHS supply chain

Completion of routine maintenance requests for forwarding to Estates Department

Receiving telephone calls, taking and relaying messages and referring calls as appropriate.

Answering patients and relatives general enquiries and assisting them with any problems throughout their stay.

Liaising with other Hospitals and Departments, Social Services, GP Surgeries and Home Help Services and close working liaison with the Directorate of Medicine and Emergency Care.

Photocopying of paperwork as required and scanning as per policy guidelines

To provide cover remote or on ward for annual leave and sickness leave on any of the medical Wards as directed including weekend and evening cover.

Ensuring all mandatory training is up to date and all Trust policies are adhered to

Any other duties as directed by Line Manager, Senior Nurse and management team Medicine, Emergency Department & Critical Care Division

Collection of Ethnic and Religious Data and inputting information onto PAS System

Acting as Stage One Officer to determine overseas patients liability for treatment charges and informing the Overseas Officer

Delivery of post, diagnostic and prescriptions Forms to departments and collection of drugs from Pharmacy as appropriate

Qualifications

Essential

  • Educated to GCSE level including English or equivalent qualification/experience

Knowledge

Essential

  • General knowledge of administration and management of electronic diary
  • Knowledge of maintaining patient confidentiality at all times

Skills

Essential

  • Computer literate including ability to use Microsoft packages such as Excel
  • Good organisational skills, self-motivation, drive for performance and improvement, reliable and flexible in approach and attitude
  • Ability to work on own initiative and to work within a team
  • Excellent communication skills - written and verbal

Experience

Essential

  • Previous administrative experience (preferably NHS background but not essential)
