Provide a friendly and comprehensive reception service to all staff and external visiting the department

To collate and distribute theatre lists effectively, liaising with secretaries and other administration staff. Provide an excellent communication system between relevant personnel, regarding any alterations or additions to operating lists

Print and distribute theatre lists in a timely manner

Liaise with the multi-disciplinary team within the department, to help maintain patient flow through theatre.

To be responsible for accurately inputting data onto relevant databases and to collate data for the purpose of clinical audit.

Undertake efficient reception duties e.g. answering the phone; receiving people at the reception desk; receipting of goods and general housekeeping duties as directed by the Theatre Manager.

Liaise with the Estates Operational Services in relation to reporting faults and equipment breakdown within the department, signing for completed tasks or as directed by the Theatre Manager

Transcribe formal minutes of meetings

Provide and receive routine, complex or sensitive information requiring tact or persuasive skills, identifying and overcoming possible barriers to understanding

Exercise judgement and escalate any concerns when dealing with enquiries

Personally maintain confidentiality thus enabling effective principles are applied for patient care, oversee that principles of confidentiality are adhered to by the team.

Qualifications

Essential

  • 5 GCSEs or equivalent grades 4/C or above (including English and Maths)
  • Level 3 qualification in Administration or Customer Service (or equivalent experience), providing the base level of theoretical knowledge needed to understand administrative and theatre-related policies, procedures and their interdependencies
  • Demonstrable typing/keyboard skills developed through practice

Experience

Essential

  • Previous experience of using Microsoft Office applications
  • Knowledge of secretarial or administrative procedures and systems
  • Previous experience of working in an office environment
  • Previous experience in minute taking.
  • Previous experience of audio typing
  • The ability to communicate basic or sensitive information to colleagues, and visitors
  • The ability to pay close attention to detail in written and electronic communication and information storage
  • The ability to work as part of a multi-disciplinary team to ensure high quality secretarial and administrative support
  • Utilise personal problem solving skills to assist staff, visitors and medical students.
  • Able to organise, prioritise and adjust own workload in relation to the priorities of the department over timescales in excess of 1 week
  • Demonstrates personal duty of care in relation to the safe use of equipment and other resources
  • Maintains the quality in own work and encourages others to do
  • Ability to share knowledge and skills with other team members

Desirable

  • Previous experience of working in the NHS
  • Previous experience of using medical terminology
  • Previous experience of Lorenzo,EMR
