- *SystmOne Practice**
To be the focal point of the surgery and to act as a liaison between patients, clinicians and other members of your practice team. Ensuring that the scanning of patients correspondence is kept up to date at all times. You are expected to be courteous to patients, particularly people with disabilities, elderly and people from the ethnic minority groups. You must have experience working as a medical receptionist and preferably with SystmOne software or similar.
- Answer the
telephone dealing with or redirecting enquiries.
- Booking new
and follow up appointments.
- Take
messages for the doctors, nurse and other clinicians.
- Requesting repeat
prescriptions in accordance with practice guidelines.
- Register new
patients following practice policy.
- Open mail
and distribute as appropriate. Leave private, confidential and personal
mail unopened.
- File medical
records and scan hospital reports and letters.
- Offer all
services to patients including Community Pharmacy Consultation Service
(CPCS), extended hours hub and walk in centres as appropriate.
- Complete
tasks sent by the doctors, nurses and other clinicians.
- Sending off
patients records to the PCSE
- Marking
patient records as arrived on systmone
- Each evening
leave the reception area tidy and ready for incoming colleagues. Leave
information regarding unsolved or urgent problems in the message book.
- Opening and
locking up of Practice premises and maintaining security in accordance
with practice protocols.
Confidentiality: Any information
about patients, personal or medical must be regarded as strictly confidential.
Any breach of this confidentiality will be taken as a reason for instant
dismissal.
You
will Join a well-established professional team of General Practitioners,
Practice Nurse, FY2s, Pharmacist, HCAs and Administration/Reception staff.
We
are an extremely friendly and flexible practice, with a current patient
population of 5000 patients. We are part of Westhill PCN and we have been rated
Good by CQC.
We

Experience
Essential
- We are seeking a friendly, professional, reliable and compassionate Medical Receptionist who is committed to providing a high-quality, patient-centered service. The successful candidate will be an important first point of contact for patients and should therefore have excellent communication and interpersonal skills, with the ability to communicate clearly, politely and sensitively with patients, relatives, carers and colleagues. They should be approachable and able to deal with people from a wide range of backgrounds in a respectful and non-judgemental manner.
- The successful candidate should ideally have previous experience in a reception, administrative or customer-facing role. Previous experience of working within a GP practice, NHS or healthcare environment would be desirable but is not essential, as appropriate training can be provided. Experience of dealing with a busy reception, managing telephone enquiries and responding to a range of patient requests would be advantageous.
- Good organizational skills are essential.
- The Medical Receptionist will need to manage competing demands, prioritize tasks effectively and work accurately in a busy environment. They should have excellent attention to detail, particularly when entering patient information, booking appointments, processing messages and handling confidential information. The ability to follow practice procedures while also using initiative to resolve routine issues is important.
- The candidate should be confident using computers and have good general IT skills. They should be comfortable using email, electronic patient records and other digital systems. Previous experience with GP clinical systems such as SystmOne, and communication systems such as PATCHS or Accurx, would be desirable. The successful applicant should also be willing to undertake training and develop their IT and administrative skills as practice systems and procedures change.
- Confidentiality and professionalism are fundamental to the role. The successful candidate must understand the importance of maintaining patient confidentiality and handling sensitive information appropriately. They should demonstrate an understanding of data protection, information governance and professional boundaries, and be able to maintain confidentiality both within and outside the workplace.
- The Medical Receptionist should be able to remain calm, courteous and professional when working under pressure. GP reception can be demanding, particularly during busy periods, and the successful candidate should be able to manage difficult or challenging situations appropriately without compromising patient care or professionalism. They should be able to listen carefully to patients, identify their needs and know when an issue should be escalated to an appropriate member of the clinical or management team.
- Able to work in the team is essential.
Desirable
- The successful candidate will be expected to work collaboratively with GPs, nurses, healthcare professionals, administrative staff and practice management. They should be willing to support colleagues, share information appropriately and contribute positively to the overall functioning of the practice. A flexible approach is important, as duties and priorities may change according to the needs of the practice and its patients.
- Above all, the successful candidate should demonstrate a genuine commitment to providing an excellent patient experience. They should be compassionate, respectful, dependable and willing to go the extra mile to support patients while working within appropriate practice procedures and professional boundaries. They should demonstrate the values of equality, diversity and inclusion and treat every patient and colleague fairly and with dignity.
