  • Liaising via the telephone with patients,carersand care professionals for the delivery of repairs services, co-ordinating relevant paperwork.
  • Completing works orders and associated notes toclose downcompleted jobs ina timelyfashion.
  • Coordinating workload and jobs forFieldServiceEngineers.
  • Maintaining and develop efficient goods inwards control, goods inwards approvals and other procedures, either in person or through agreed delegation.
  • Liaise with service management to develop effective management information reporting systems for all aspects of stock control, stock movements, slow moving or obsolete stock identification and other reports tofacilitateoptimumstock usage within contractual requirements.
  • Make full use of computerised stock control and other systems to update records andmaintainpatient details.
  • Comply withservice requirements of theBCE Management Systems and Bristol NHS Foundation Trust policies and procedures.
  • Undertake such other reasonable duties,appropriate tothe grade, as agreed between the post holder and manager from time to time.
  • This job description will bereviewed periodically,in the light of experience and according to changing service needs.

  • Receive calls from patients,carers and care professionals through telephone and email for the repair of wheelchairs. This will require liaising with the callers to ascertain the fault and agreeing when we will call to repair and fix that problem.
  • Completing works orders and associated paperwork to close downcompleted jobs ina timely fashion within the stated KPI's.
  • Coordinating the workload forFieldServiceEngineers to ensure a full day is allocated to patient care .
  • Maintain an efficient and prompt goods inwards control, including incoming inspection, goods inwards approvals and other procedures, either in person or through agreed delegation.
  • Order additional stock as required by the site.
  • Liaise with service management an effective management information reporting systems for stock control, stock movements, slow moving or obsolete stock identification and other reports tofacilitateoptimumstock usage within contractual requirements.

Education and qualifications

Essential

  • GCSE English and Maths or equivalent

Personal qualities

Essential

  • Ability to work unsupervised and on own initiative. Self motivated.
  • Good geographical knowledge of Gloucestershire, Bristol and surrounding areas.
  • Reliable and punctual

Desirable

  • An understanding of confidentiality

Knowledge, skills and abilities

Essential

  • Organisational skills including meticulous attention to detail, managing and prioritising own workload and working to tight deadlines
  • IT Literate
  • Ability to manage phone calls professionally with patients and carers who may be challenging.
  • Excellent communication and interpersonal skills, confident and articulate telephone manner.

Experience

Essential

  • Experience of working within a team and able to work with people at all levels
  • Previous experience in an administrative role

Desirable

  • Experience working within a pressurised environment
