As first point of contact for patients and visitors. The receptionist managesthe front desk and greets all visitors to the surgery, answering any queries and enquiries and taking messages for the wider team. Answering the phones, scheduling appointments and monitoring the patient flow to the consulting and treatment rooms. They must demonstrate confidence, have a pleasant personality and possess good communication skills, creating a positive first impression.

Part time Admin clerk/Receptionist

  • Book appointments for patients with Doctor and Nurse and other members of the health care team as requested.
  • Monitor flow of patients into consulting and treatment rooms.
  • Register immediately necessary patients, temporary residents and patients from abroad who need to be seen same day onto surgery database. Ensure sufficient information is recorded and patients receive a practice leaflet detailing our services.
  • Import registration request documents into the docman system from Email, for the workflow clerk to complete.
  • Advise patients of the practices policies and procedures as requested with particular regard to emergency prescriptions and urgent appointments.
  • Advise patients of relevant charges for private services, accept payment and record details.
  • Action prescriptions requests and amend any alteration to medication necessary as advised by Doctor.
  • Enter requests for home visits on screen, including relevant information.
  • Advise patients of contact numbers when requesting ambulance transportation.
  • Respond to all queries and requests for assistance from patients and other visitors to the practice, answering telephone and taking messages as appropriate.
  • Retrieve and refile records as required.
  • Follow practice procedures for start and end of day opening and closing, including securing the premises correctly.
  • Provide cover for Saturday mornings/late evening surgery on a rota at least 1 weekend annually is expected.
  • Provide cover, for absence during holidays and sickness, occasionally at short notice.
  • Attend meetings/ update huddles as required.
  • Any other delegated duties considered appropriate to the position and any other procedures developed when in post.
  • Adhere to data protection principles and the practices confidentiality policy at all times. Also, to be aware of the policies regarding smart cards and data security.
  • Adhere to Health and Safety at work Act.
  • Complete all mandatory training within the specified timeframe

To adhere to the practice repeat prescribing policy for all prescription requests.

Provide clerical/admin support to the practice nurse and other practice team members as required.

Advise GPs/nurses and patients as to referral pathways as appropriate.

Support any locums with logging on to EMIS and other practice systems, how to use the intercom and provision of the locum handbook.

Ensure we have adequate supplies of letterheads practice leaflets, appointment cards paper and envelopes as appropriate.

Assist the team with meeting practice targets. Patient alerts must be acted upon when booking appointments with the nurse.

Ensure all EMIS tasks Docman tasks and Accurix messages are actioned and completed daily as appropriate.

To check EMIS Mail inbox daily for any organisational changes issues.

Ensure all communications received to the practice by whichever means are responded to same day and completed if appropriate, sending any clinical correspondence or patient information to the workflow team.

Ensure your own nhs.net email account is checked daily and to action any requests.

To access e-LFH to complete mandatory training and to request protected time if unable to do so. To ensure you keep up to date with all new IT skills as required.

To attend all F2F mandatory training when required; BLS, Oliver McGowan and others as instructed by the training supervisor.

Respond to all requests for Access to Medical Records and reports, ensuring all legal requirements are adhered to. Ensure patients have paid up front for any forms or TWIMC letters.

To assist with filing all NEW patient medical records received weekly, and to locate the records for deceased and deducted patients to send to PCSE.

To contact GMSS IT department with any issues without delay, and as requested by any team member.

High Lane Medical Centre is situated in a semi-rural

area, 10 mins from Stockport and 30 mins from Manchester. We are a

forward-thinking training practice, supportive of continued education, personal

development and focused on providing high quality patient care to approx. c.7,500

patients. You will be joining an enthusiastic, well led and

innovative practice team comprising: a principal GP,

eight assistant part-time GPs, practice manager, six receptionists, 2

administrators, two secretaries, two practice nurses and a healthcare

assistant. We have 2 small residential

care homes and a large number above average of elderly patients.

Our local federation is Viaduct Care who provide us

with a pharmacy hub team, seasonal respiratory hub clinics, First Contact

Practitioner (physio), Well-being Coordinator, Mental Health practitioner, and

additional care coordinators. We host

other services, in house; minor surgery, Midwifery services, Ultrasound, Audiology,

joint injections, coil insertions and implants.

We were ranked No. 1 surgery in England in 2022.

Our last CQC rating was GOOD in 2020. We were recently ranked joint number 1

practice in Greater Manchester, and 12th In England. We are an

active member of our local Primary Care Network which includes practices from

Marple, Romiley and Hazel Grove.

Experience

Essential: - Computer/Keyboard skills; - Good communication skills; - Good organisation skills; - Confident and efficient handling of general public

Desirable: - Medical terminology; - Experience of practice systems, EMIS, DOCMAN, ACCURIX.; - Proficient with MS applications

Qualifications

Essential: - Educated to GCSE or equivalent

Desirable: - GCSE English.; - IT professional certifications
