Arrange and coordinate project meetings, including programme board sessions, site progress meetings, and stakeholder workshops.Support the
Capital Projects PMO function by assisting in the coordination of project governance activities, documentation, and performance reporting.
Assist with diary management, meeting room bookings, and logistics for on-site and virtual meeting
Support basic monitoring of expenditure by tracking requisitions, invoices and approvals, escalating discrepancies to Project Managers or the Project Support and Business Manager.

Education
Essential
- GCSEs (or equivalent) in English and Maths
- NVQ Level 3 qualification in Business Administration or equivalent experience
- Knowledge of office systems, document control, and data management
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint)
Desirable
- Understanding of NHS or public sector project environments
- Familiarity with Allocate, ESR, or other HR/workforce systems
Experience
Essential
- Previous experience providing administrative support within a busy team environment
- Experience maintaining accurate records, minutes, and reports
- Experience supporting basic financial processes such as requisitions, invoice tracking or payment follow-ups in line with organisational procedures
Desirable
- Experience supporting project or programme management activities
- Experience of working within the NHS or a similar large organisation

- Strong organisational and time-management skills
- Ability to work accurately with attention to detail
- Able to manage multiple priorities and meet deadlines
- Ability to maintain confidentiality and handle sensitive information appropriately
