- Monitor patient pathways using digital systems, identifying outstanding actions, potential delays and ensuring patients progress safely towards surgery.
- Coordinate and book pre-operative assessment appointments, investigations and diagnostic tests within agreed timescales.
- Liaise with patients, nursing teams, waiting list staff, clinicians and diagnostic departments to facilitate timely completion of pathway requirements.
- Act as a key point of contact for patients, responding to telephone, email and face-to-face enquiries in a professional and supportive manner.
- Maintain accurate patient information and upload documentation to the appropriate NHS systems, ensuring data quality and confidentiality at all times.
- Identify and escalate pathway delays, risks or concerns to the System/Admin Manager and nursing team as appropriate.
- Provide reception cover within the department, welcoming patients and supporting the smooth running of clinic services.
- Work collaboratively with colleagues across the Trust, providing cross-cover and contributing to the delivery of a high-quality service.
- Support the department with administrative duties, case note tracking, audit activity and continuous service improvement initiatives.
- Maintain compliance with Trust policies, information governance requirements and mandatory training obligations
To work as part of a rota system in the Pre-Op Admin Team to plan, book and schedule appointments comprehensively Pre-Op as required ensuring that Trust targets are met.To ensure that pre-operative capacity is utilised efficiently and effectively.To manage the patient pathways on the MyPreOp+ system ensuring appropriate prioritisation of patientsAnswer incoming calls, assisting patients with specific enquiries, booking/re-booking appointments or re-directing to the appropriate team.The Pre-Operative Pathway Coordinator provides a service to all Pre-Op patients and where required agreeing appointment times and dates with patients, relative or carers and medical staff, over the telephone, by letter or in person, acting within protocols for safety, diet and medication and endeavouring to provide an efficient service to all internal departments and external users.To participate in all queries from patients, visitors, and medical staff as a first line of contact in a clinical environment.To participate in all aspects of the administration service within Pre-Operative Assessment.To work in offices or receptions in Pre-Operative Assessment.To ensure the care and comfort of patients and carers whilst in the department whilst manning reception desks.To maintain and upload information onto supporting databases linked to patient pathways, recording investigations and relevant radiological information.To make appointments for patients using Patient Centre and MyPreOp+, sending out appointment letters and appropriate documentation.To deal with telephone enquiries from patients, GPs, Consultants and other staff disciplines.Provide clerical support to the Pre-Op Nurses.

Education and Qualifications
Essential: - GCSE at grade A*-C in Maths and English
Desirable: - IT/computer skills for example PAS/Patient Centre or equivalent
Knowledge
Essential
- Knowledge of administrative processes
- Knowledge of appointment booking processes
- Good understanding of confidentiality and information governance requirements
Desirable: - Knowledge of Pre-Operative Assessment working practices; - Knowledge of patient pathway management within the NHS
Experience
Essential
- Previous experience of working in an administrative role
- Experience of team working and with the general public
- Experience of using digital healthcare systems
Desirable: - Previous NHS/Hospital Experience; - Experience of PAS/Patient Centre or equivalent; - Experience working with clinical staff and multidisciplinary teams
Skills
Essential: - Excellent organisational skills; - Ability to prioritise workloads; - Ability to use initiative
