Norfolk & Waveney Children & Young People's Health Services are seeking an Administrator to join our 0-19 Healthy Child Service team of Administrators...
The successful candidate will -
Have strong organisational and time-management skills.Have excellent communication and interpersonal abilities.Be proficient in Microsoft Office and have confidence with digital systems.Have a proactive approach and an ability to work independently as well as part of a team.Manage day-to-day administrative tasks, including data entry, managing appointment booking, and supporting members of the leadership team.
Provide administrative support to the leadership team by providing diary management, arranging meetings, assisting with preparation of presentations and training materials, sending communications to colleagues within the service and locality, filing, photocopying and other general administrative duties.
Administering meetings , including preparing agendas and papers and taking actions, notes or minutes.
Assisting with HR administration for the leadership team by using a variety of electronic methods including - maintaining records of annual leave, monitoring mandatory training compliance.
Have a full comprehensive knowledge of all electronic systems, including ESR, ESR manager self service, Health Roster, Loop, Datix, Oracle, Electronic P files. This list is not exhaustive.
Supporting duty workers, including sending letters to service users, updating S1 records, actioning tasks, sending text reminders, etc.
Booking of all contacts in line with performance timescales.
Answering telephone calls and responding appropriately.
Administration of S1 units across the county including scanning documents onto S1 records, monitoring tasks, setting up rotas, electronically attaching documents to service user records etc.
Monitoring and ordering of stock and other items as required.
Taking calls from clinicians at the end of the day in line with the lone working policy.
Completing other routine administration tasks as requested such as scanning, photocopying, coordinating the calibration of scales and other equipment, etc.
Uploading FFT data to IQVIA.
Booking venues for meetings and service delivery when required.
Booking interpreters.
Support the Single Point of Access and other services where required.

Qualifications and Training
Essential
- GCSE English and Maths Grade C and above or equivalent qualification
- NVQ level 3 or equivalent experience
Knowledge & Skills
Essential
- Excellent communication and interpersonal skills
- Effectively priorities and co-ordinates own work and the work of others
- Wide knowledge of office procedures
- Ability to use Microsoft Office packages such as Word, Outlook, Excel and PowerPoint.
- Excellent time management skills
- Understands the principle of confidentiality
Experience
Essential
- Experience within an administrative role
- Demonstrates understanding of safeguarding issues
- Accepts responsibility and accountability for own work and can define the responsibilities of others
- Aware of the range of emotions in self and others
Desirable
- Experience of working within children's services or in an NHS environment
- Experience of using Systm 1
