Job description

To provide a specialised, comprehensive and confidential clinical administration and secretarial service to Plastic Surgery Consultants and their team...

  • Provide full secretarial support to consultants and ensure all clinical documentation is up to date
  • Accurately type and format clinical letters, reports and general correspondence to a high standard within agreed timescales.
  • Demonstrate a strong working knowledge of the required structure and layout of clinical letters, ensuring all correspondence meet Trust standards.
  • Use MModal transcribe software to understand complex medical terminology accurately.

Qualifications

Essential

  • ECDL or equivalent.
  • NVQ3 in Administration or equivalent.
  • RSA/OCR III or equivalent typing/word
  • Processing including audio typing.
  • Key Skills level 2 Literacy or equivalent.
  • GCSE Grade B/5 or above in English (or equivalent qualification), demonstrating a high standard of written and spoken English

Desirable: - oAdditional training in medical terminology. oEvidence of continuing professional development

Experience

Essential

  • Experience at Secretary level or trainee.
  • Experience of managing complex workloads and resolving work-related issues independently.
  • Decision making and resolving complex work-related issues.

Desirable: - oExperience in software MModal oElectronic Patient Records (EPR) oPrevious NHS experience.

Knowledge

Essential

  • Thorough working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel.
  • Excellent understanding of general office procedures and administrative systems.
  • Understanding of confidentiality, data protection and information governance.

Desirable: - oAwareness of current issues within the NHS o31/62 Cancer Targets oKnowledge of the Patient Referral Pathway (RTT)

Skills

Essential

  • Excellent organisational and time management skills
  • Advanced typing and audio typing skills with high accuracy Strong understanding of clinical letter layout
  • Excellent verbal and written communication skills.
  • Sound decision-making skills and ability to use initiative. Ability to prioritise workload effectively in a high-pressure environment.
  • Ability to supervise and support administrative staff on a day-to-day basis.
  • Strong interpersonal skills with the ability to influence and persuade appropriately.
  • Ability to demonstrate tact, sensitivity and empathy when dealing with patients and relatives.
  • Ability to manage difficult or distressing situations calmly and professionally.
  • Excellent attention to detail and accuracy.
