  • Patient Welcome & Registration Provide a warm, professional welcome to all patients, ensuring accurate registration and completion of required documentation.
  • Preparation of Treatment Centres Set up treatment areas ahead of clinical sessions, ensuring equipment, materials and the environment are ready for safe patient care.
  • Post Assessment Support Assist patients following their clinical assessment, offering clear information, reassurance and direction as needed.
  • Non Clinical Care Navigation Guide patients through the next steps of their care pathway, helping them understand processes, appointments and follow up requirements.
  • Liaison with Central Team (Truro) Communicate effectively with the central administration team to coordinate bookings, resolve queries and ensure smooth operational flow.
  • Medication Stock Management Monitor, record and replenish non controlled medication stocks in line with organisational procedures.
  • Environment Cleanliness Maintain high standards of cleanliness in reception and patient areas, supporting infection prevention and control requirements.
  • Premises Security Ensure the safety and security of the building, including opening/closing procedures, visitor management and reporting any concerns promptly.

The Urgent Care Receptionist plays a crucial role in supporting the delivery of safe, efficient, and compassionate patient care within treatment centres. By preparing clinical environments, managing patient arrivals, and maintaining infection control standards, they ensure clinicians can focus on clinical decision-making.

Their involvement in non-clinical care navigation helps patients understand their next steps following assessment, reducing confusion and improving continuity of care. They provide comfort and reassurance to patients, especially during busy or uncertain periods, enhancing the overall care experience.

The role also includes maintaining accurate records, managing medication stocks, and supporting clinicians with administrative tasks. By liaising with the Clinical Advisory Service and responding flexibly to operational needs, the Urgent Care Receptionist helps maintain service flow and responsiveness. Their presence strengthens the care team, improves patient satisfaction, and ensures that urgent care services run smoothly and effectively.

Key Duties and Responsibilities

  • Prepare treatment centres for clinical operations: Ensure all clinical areas are clean, stocked, and ready for use. Switch on and test IT systems, phones, and medical equipment to support a smooth start to patient care.
  • Support patient comfort post-assessment: Provide reassurance and practical support to patients after theyve been seen by a clinician, helping them feel safe, informed, and cared for. The role also includes providing comfort calls to patients awaiting clinical assessment or a time to be reviewed in a clinical face to face setting.
  • Assist with non-clinical care navigation: Guide patients through the next steps in their care journey, such as where to wait, what to expect, or how to access follow-up services.
  • Welcome and register patients: Greet patients professionally, confirm their details, and record arrival times accurately in the system to support timely clinical response.
  • Liaise with the Clinical Advisory Service (CAS): Maintain clear communication with CAS to coordinate patient flow, manage workload, and respond to operational needs.
  • Maintain clinical environment cleanliness: Regularly clean and tidy treatment areas, ensuring compliance with infection control protocols and creating a safe space for patients and staff.
  • Manage medication stocks and protocols: Monitor and replenish medication supplies, follow controlled drug procedures, and ensure accurate documentation and handovers.
  • Monitor and report operational issues: Identify and escalate issues such as equipment faults, staffing gaps, or delays to the Operational Team Leader to maintain service continuity.
  • Communicate with patients awaiting care: Keep patients informed about waiting times and progress, offering reassurance and managing expectations with empathy.
  • Support CAS operations during busy periods: Assist with administrative tasks such as call handling, dispatching, or data entry when demand is high or staffing is limited.
  • Secure premises and sensitive information: Lock drug cupboards, secure patient records, and ensure the treatment centre is safe and compliant with data protection policies.
  • Maintain accurate records and documentation: Complete logs, prescription sheets, and patient interaction records to support clinical handovers, audits, and service evaluation.
  • Assist clinicians with administrative tasks: Help clinicians with non-clinical duties such as preparing paperwork, managing prescriptions, and updating patient records.
  • Monitor stock levels and order supplies: Track usage of stationery and clinical supplies, and reorder through approved channels to ensure uninterrupted service delivery.
  • Promote a professional and compassionate image: Uphold Kernow Health CIC values by acting with integrity, empathy, and professionalism, contributing to a positive patient and team experience.

You will be expected to carry out any other duties that may reasonably be required in line with your main duties, as directed by your line manager.
