The Team Leader is responsible for the delivery and oversight of a professional, comprehensive, and efficient administrative service, ensuring it is consistently delivered to all patients and members of the Department. This includes leading and supporting the administrative team, ensuring standardisation of processes, and maintaining a high-quality, responsive service.

The role involves coordinating and supervising the full administrative function for a specialty team, including providing operational support to consultant teams and ensuring effective management of patient pathways. The Team Leader has responsibility for ensuring pathways are actively managed in line with the Trust's Elective Access Policy, supporting the achievement of RTT and other performance standards, and proactively addressing risks to patient flow, data quality, and service delivery.

The post holder will also be responsible for supporting staff development, managing workload distribution, and driving continuous improvement to enhance both service efficiency and patient experience.

Leadership and Team Management

  • Lead, support, and supervise the administrative team, acting as the first point of contact for staff and operational queries.
  • Allocate workloads effectively and ensure appropriate service cover during absences.
  • Provide training, mentorship, and development opportunities, ensuring staff are competent and supported in their roles.
  • Manage recruitment, appraisals, and performance issues in line with Trust policies.

Patient Pathway Management - Take responsibility for tracking patients through the 18-week referral-to-treatment pathway and ensuring compliance with Trust access targets.

  • Monitor waiting lists, identify long waiters, and escalate risks or potential breaches to senior managers.
  • Ensure patients are scheduled and treated within required timeframes, including urgent and suspected cancer pathways.

Service Delivery and Performance - Oversee the delivery of a high-quality, efficient administrative service supporting the full patient pathway.

  • Monitor team performance, capacity, and activity, taking timely action to address service pressures.
  • Support delivery of key performance targets and contribute to weekly performance reviews and escalation processes.

Communication and Stakeholder Working - Build strong working relationships with consultants, clinical teams, and multidisciplinary colleagues.

  • Act as a key point of contact for patients, providing non-clinical advice and escalating concerns where required.
  • Represent the service at meetings and ensure clear communication of actions and outcomes to the team.

Quality, Governance, and Improvement - Ensure data accuracy and quality across all patient administration systems.

  • Contribute to the investigation of complaints, identifying trends and supporting service improvements.
  • Work with management and clinical leads to identify and implement service development initiatives.
