The Site Lead will provide visible day-to-day operational supervision and practical support for allocated staff groups and local site processes. They will act as a local point of contact for operational queries, immediate service concerns and practical problem-solving, helping to maintain safe, consistent and effective service delivery.
Key duties include supporting care navigation, administration, secretarial, document management and/or referrals processes; monitoring workload, delays, bottlenecks and appointment requirements; coordinating local site checks, evidence uploads, OPEL, FFT and other operational reporting; and escalating concerns appropriately where issues fall outside agreed limits.
The Site Lead will support staff induction, practical training and day-to-day guidance for staff, students, registrars and locums. They will contribute to SOPs, work instructions and implementation plans for new or revised processes, and help gather factual information for complaints, incidents or investigations when requested.
They will also review overtime and TOIL requests as an operational check, confirming what happened and whether additional time was operationally necessary within agreed rules. The role requires close collaboration with the other Site Lead to support consistent standards across both sites.
Role purpose
To provide visible day-to-day supervision, coordination and operational oversight for an allocated site and/or staff group on behalf of the Operations Manager. The postholder will support local administrative, secretarial, Care Navigation, document management, referrals and site operation functions, escalating matters outside agreed authority limits.
- Maintain visible operational supervision and coordination at the allocated site.
- Supervise allocated staff groups, including workload, standards, local priorities and practical day-to-day support.
- Support Care Navigation arrangements, patient flow, patient queries and immediate service concerns where relevant.
- Support document management, workflow, safeguarding administration, referrals and secretarial/admin processes where relevant to the postholders background and allocated responsibilities.
- Coordinate practical responses to IT, building, equipment, room booking, stock, facilities and local site issues.
- Complete or coordinate health and safety, fire, environmental and local evidence checks as required.
- Monitor workload, delays, bottlenecks and work allocation, escalating repeated or significant concerns with factual examples and proposed solutions.
- Provide training, guidance and support to colleagues so they are confident and competent in relevant processes and procedures.
- Draft or contribute to SOPs, work instructions and operational guidance relevant to the area of responsibility.
- Advise the Operations Manager on practical implementation requirements, training needs and likely operational impact of changes.
- Provide evidence, examples and feedback to support staff appraisals, probation reviews and supervision discussions where requested.
- Complete straightforward return to work interviews within agreed scope and escalate repeated absence, patterns, sensitive issues or possible formal attendance management.
- Gather information, timelines and staff comments for formal complaints or investigations at the request of the Operations Manager.
