  • Manage the end-to-end procurement of IT hardware, software, telecoms services and related equipment for customer organisations and internal teams.
  • Liaise with suppliers to obtain quotations, place orders, track deliveries and ensure compliance with procurement processes.
  • Maintain accurate records relating to orders, budgets, billing, assets and configuration information.
  • Administer NHS Registration Authority (RA) services, including the issue, maintenance and support of NHS Smartcards.
  • Process access requests for new starters, leavers and staff role changes, ensuring compliance with national and local policies.
  • Provide advice and support to users on Smartcard services, access management and self-service tools.
  • Support the deployment and lifecycle management of IT equipment, ensuring assets are accurately recorded and tracked.
  • Act as a key point of contact for customers, suppliers and stakeholders, delivering a professional and customer-focused service.
  • Assist with service improvement activities, testing, documentation and the implementation of new processes and systems.
  • Help ensure NHS staff have access to the technology and systems they need to deliver safe and effective patient care.

Qualifications & Training

Essential

  • NVQ Level 3 or equivalent in Business Administration.
  • Good general education including GCSEs (or equivalent) in Maths and English.
  • Advanced computer literacy in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • RSA Level 2 Word Processing or equivalent.

Desirable

  • ITIL Foundation or equivalent Service Management qualification.
  • Project management qualification or experience (e.g., PRINCE2).

Experience

Essential

  • Experience in IT procurement, telecoms, or administrative roles within the NHS or similar environment.
  • Experience of working in an office/administrative setting.
  • Experience in NHS clinical systems and/or IT administration.
  • Experience of supplier and third-party account management.

Desirable

  • Experience working in a Registration Authority capacity.
  • Experience working in an IM&T environment.
  • Working knowledge of NHS recruitment processes.

Skills, Knowledge & Abilities

Essential

  • Ability to communicate effectively with staff at all levels, both clinical and non-clinical.
  • Ability to explain technical issues to non-technical users.
  • Strong customer service focus.
  • Understanding of NHS financial instructions and procurement systems.
  • Knowledge of RA systems, ESR, and Smartcard processes.
  • Proficient in maintaining electronic filing systems and managing workloads to meet deadlines.
  • Strong interpersonal and influencing skills, demonstrating diplomacy and reliability.
  • Ability to plan, innovate, and work collaboratively across teams.
  • Understanding of confidentiality and data protection policies.
  • Excellent time management and attention to detail.
  • Ability to use VDU equipment for extended periods.

Desirable

  • Experience working in a Registration Authority capacity.
  • Experience working in an IM&T environment.
  • Working knowledge of NHS recruitment processes.
  • Knowledge of local NHS organisations and telecommunications technology.
  • Experience using Microsoft Enterprise Solutions such as SCEM.
  • Knowledge of clinical and non-clinical systems (e.g., TPP, RIO).
  • Ability to propose and implement service improvements.
