The post holder is responsible for providing comprehensive administrative and secretarial support to the integrated safeguarding team at East Cheshire...

Provide an administrative secretarial and clerical service to support the safeguarding team ensuring that letters, e-mails and reports are accurately produced within agreed timescales, data is input to required standards and an electronic filing and retrieval system is maintained.

Possess a knowledge and understanding of medical terminology.

Responsible for the processing of incoming and outgoing correspondence including prioritising, tracking, sorting and transferring as necessary.

Maintain and update appointment diaries, message books to assist efficient operation within the Safeguarding Team.

Arrange meetings, workshops, training events, conferences.

Produce and distribute training materials and informative literature for the service

Contribute to the ordering of stationery supplies and associated procedures.

Participate in the local induction of new staff.

Recognise and respond appropriately to the urgency of situations, reporting concerns to the Head of Safeguarding, Named Nurses / Nurse Specialists.

Maintain and update the Safeguarding websites.

Contribute to the effective and efficient use of resources.

Contribute to the continued improvement and quality of the Administrative Support Service.

To undertake any other delegated duties as appropriate and commensurate with the post.

Qualifications

Essential

  • 5 GCSE's or equivalent, grade C or above. Must include English

Desirable

  • Previous experience within an administrative role

Knowledge & Skills

Essential

  • Understanding of Medical terminology
  • Advanced keyboard skills
  • Good verbal and communication skills
  • Ability to develop, operate and maintain electronic filing systems
  • Ability to collate data to produce reports using Microsoft packages
  • Demonstrate a commitment to respecting and displaying the Trust Values at all times
  • Ability to work as a member of a team.

Experience

Essential

  • Experience of working in an office environment
  • Arranging meetings and taking Minutes
  • Producing and maintain databases/Spreadsheets/ use of excel
  • Experience of using a range of software programmes / IT packages e.g. Microsoft Office Word, Access, Excel, Outlook, Powerpoint, Internet & Intranet

Desirable

  • Experience of working within the NHS or related social care / legal experience.
  • Experience of dealing with Multi-Agency Professionals
