To provide a high quality, comprehensive administrative service to the Resilience Team and Clinical Site Management Team. Communicate sensitive inform...

1. Provide business support to the Deputy Divisional Director for Capacity, Flow and Resilience, Resilience team and Clinical Site Management team.

2. Work closely with the Resilience team and Clinical Site team, helping to support the smooth running of the two services.

3. Attend the daily Operational Site Meetings, recording concise and clearactions agreed and disseminating these in a timely manner.

4. Develop and maintain the Tactical and Strategic On-Call rotas. Overseeing the rota on Healthroster and ensuringappropriate and timely sign off.

5. Coordinate the setup and booking of delegates onto appropriate Resilience Teamtraining modules.

6. Recommend, initiate, and improve administrative system to support thesmooth running of the site offices and Resilience Team.

7. Act as a port of call for enquiries to the Deputy Divisional Director for Capacity, Flow and Resilience, Head of EPRR and Head of Clinical Site Management. Be responsible for dealing with all correspondence andtelephone queries, prioritising as appropriate, dealing effectively with bothroutine and non-routine enquiries. in a sympathetic, effective, timely andconfidential manner.

8. Support the Resilience Team with annual assurance processes for EPRR.

9. Support the Resilience Team with ongoing and future resilience related projects.

Qualifications

Essential

  • Educated to GCSE level or equivalent including English and Maths.
  • NVQ level 3 in Business Administration or proven equivalent level of knowledge and experience

Desirable

  • Understanding of Clinical, EPRR and Security terminology
  • Emergency Planning Qualification

Experience

Essential

  • Significant experience of supporting at Senior Manager level in a large organisation.
  • Proven experience of independent administration duties in NHS or similar large complex organisation
  • Experience of supporting projects / undertaking delegated projects.
  • Experience of working with the public and handling difficult situations.
  • Experience of managing competing demands in a pressured environment

Desirable

  • Demonstrate advanced secretarial experience, preferably within the NHS.
  • Demonstrate detailed understanding of relevant Emergency Planning legislation

Skills / Knowledge / Abilities

Essential

  • High level of discretion, tact and diplomacy
  • Accurate minute taking and transcription
  • Excellent written, verbal and listening skills across the range of staff groups and stakeholders

Desirable

  • Experience and ability to demonstrate good customer service skills.
