The Procurement Administrator will act as the primary point of contact for procurement-related enquiries from Akari Care homes and external suppliers. The role involves supporting daily administration of procurement activities, supplier management, purchase order processing, fleet compliance, and maintaining accurate procurement records and systems. Key responsibilities include managing the Procurement inbox, telephone support, resolving queries, raising purchase orders, maintaining documentation, liaising with suppliers, and assisting in the onboarding and implementation of new suppliers. Previous experience in a procurement or purchasing role is desirable. We are seeking a highly organised and proactive Procurement Administrator to join our Leeds Support Centre. This role is integral to the smooth operation of the Procurement function, providing first-line support to care homes and suppliers while ensuring procurement systems, records, and processes are maintained efficiently.

Purpose of the Role

The Procurement Administrator will act as the primary point of contact for procurement-related enquiries from Akari Care homes and external suppliers. The role involves supporting the day-to-day administration of procurement activities, supplier management, purchase order processing, fleet compliance, and maintaining accurate procurement records and systems.

  • Manage the Procurement inbox, responding to and resolving enquiries from care homes and suppliers.
  • Provide first-line telephone support to internal stakeholders and external suppliers.
  • Investigate and resolve procurement-related queries, including delivery, order, and pricing issues.
  • Raise and receipt purchase orders in line with company procedures.
  • Maintain accurate procurement records and documentation.
  • Update and maintain procurement trackers, registers, and reporting tools.
  • Administer and maintain the procurement system, ensuring product, catalogue, and pricing information is accurate.
  • Liaise with suppliers to obtain quotations and service information in a timely manner.
  • Support the onboarding and implementation of new suppliers.
  • Maintain supplier compliance records, including audit and insurance documentation.
  • Develop and maintain positive working relationships with suppliers and stakeholders.
  • Monitor supplier performance and escalate issues where appropriate.
  • Support the administration and compliance of the company vehicle fleet.
  • Coordinate vehicle MOTs, servicing schedules, and associated documentation.
  • Deliver a professional, responsive, and customer-focused service at all times.
  • Escalate and assist in the resolution of complex procurement or supplier issues.
  • Provide administrative support to the Procurement Manager and wider Property and Procurement Team.
  • Prepare and coordinate the distribution of post, documents, and packages to care homes.
  • Assist with ad hoc projects, process improvements, and general administrative tasks as required.

Essential Skills and Experience

  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication and interpersonal skills.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive approach to resolving queries.

Desirable Skills and Experience

  • Previous experience in an administrative role, ideally within procurement, purchasing, or supply chain functions.
  • Experience using procurement or purchasing systems.
  • Knowledge of supplier management and procurement processes.
  • Experience maintaining compliance records and registers.
