To support the operational delivery of
patient services by providing peer support and direction to the reception team.
To foster a welcoming front-line team that
enables patients to access the appropriate healthcare professional or service
in a courteous, efficient and effective way.
To promote the use of patient information
resources through the use of displays and leaflets in the waiting room and
public areas.
To support the reception team to maintain
accurate records and provide comprehensive administrative support, in
accordance with practice guidelines and protocols.
To support the practice clinical and
administrative team in the provision of high-quality patient care.
To be first point of contact in relation to
patient issues and challenges as raised. This includes liaison with the
clinical team members.
1. Maintaining patient services.
Maintaining Admin rota with support from the Reception Team Lead, sourcing cover as required. Ensuring all HR and rota administration is completed on Practice Index.
Ensure the Receptionist Team Leader manages delivery of daily front and back desk tasks.
To support the reception team and completing such duties as a receptionist, as required.
Providing first-line support for the Receptionist Team Leader and reception team.
Providing Reception Team Lead training plans for induction training of new staff and existing staff.
Providing first point of contact for patients and visitors.
Communicating changes in systems and procedures to whole team.
Support in the processing of surgery lists and appointment requests.
Co-ordinating visits / on call.
Processing telephone messages.
Support in the processing of repeat prescriptions within the surgery timeframe.
Liaison between Quayside and pharmacies to address prescription issues.
Servicing requests for information.
Assist in the day-to-day logistic issue resolutions for the clinical team members.
Review and triage 'urgent list' daily and liaise with duty GP.
2. Providing administrative support by
Liaising with Clinical Administrators Team Leader over staffing cover / tasks.
Processing results.
Processing Practice Notes.
Processing GP's trays.
Filing and retrieving paperwork systematically.
3. Maintaining the practice's IT systems by
Liaising with the Clinical Data Quality Co-ordinator over IT systems / processes.
Embracing the developed use of IT.
Supporting patients' use of technologies.
4. Maintaining electronic records by
Processing patient data.
5. Supporting the clinical team by
Assisting at Vaccination / Immunisation Clinics.
6. Ensuring efficiency and safety by
Opening and securing premises as rota requires.
Working within own level of competence at all times.
Other Responsibilities
1.To support the aims and ethos of the practice.
2.To attend Practice Team meetings regularly.
3.To contribute to the development of the practice.
4.To participate in annual Staff Appraisal process.
5.To take responsibility for own professional development, learning and performance.
6.To undertake training as required.
7.To demonstrate skills and activities to colleagues undertaking similar work.
8.To communicate effectively with all members of the practice team, patients and their carers.
9.To liaise effectively with external healthcare professionals and agencies to meet patients' needs.
10.To vary working pattern, by negotiation, according to the business needs of the practice.
11.To undertake any other duties as deemed reasonable by the practice.

Located in Newhaven, we are very close to Brighton and Lewes.
Our catchment area covers the coastal strip from Telscombe Cliffs to Newhaven and surrounding villages.
The practice is comprised of a dedicated team of doctors, nurses, allied health and administrative professionals who are committed to providing the highest standard of care within a friendly, family-centred environment
