The Medical Receptionist will be a key point of contact for our patients, providing a friendly, professional and efficient service both in person and over the telephone. You will help patients access the most appropriate care, manage appointment requests and support a wide range of day-to-day administrative tasks.

The role involves working closely with GPs, nurses and the wider practice team, handling patient enquiries sensitively and confidentially, processing information accurately and helping to ensure the practice runs smoothly. You will need to be organised, adaptable and confident working in a busy environment while always providing excellent patient care.

Working hours 26 hours per week

  • Monday: 8:30am 4:40pm
  • Tuesday: 8:30am 2:00pm
  • Wednesday: 8:30am 4:30pm
  • Thursday: 8:30am 2:00pm
  • Friday: Non-working day

Please note that although Friday is your usual non-working day, flexibility is essential, and you will be required to work Fridays when necessary to provide annual leave cover for other members of the reception team.

Job Title: Medical ReceptionistHours: 26 hours per weekResponsible to: Practice Manager / Deputy Practice Manager

Job PurposeTo provide a professional, efficient and welcoming reception service to patients and support the smooth day-to-day running of the practice.

The Medical Receptionist is often the first point of contact for our patients and therefore plays an important role in their experience of the practice. The successful candidate will need to communicate with compassion and professionalism while maintaining confidentiality and dealing effectively with a busy and varied workload.

Main Duties and Responsibilities- Answer incoming telephone calls and deal with patient enquiries appropriately.

  • Use care navigation skills to help patients access the most appropriate member of the healthcare team or service.
  • Book, amend and cancel appointments in accordance with practice procedures.
  • Process requests and enquiries from patients, clinicians and other healthcare professionals.
  • Accurately record and update patient information on the clinical system.
  • Assist patients with general queries and explain practice procedures and available services.
  • Manage incoming correspondence, tasks and electronic communications and direct these to the appropriate person or team.
  • Liaise with hospitals, pharmacies, community services and other healthcare providers when required.
  • Assist with administrative duties including scanning, filing, document processing and other general office tasks.
  • Maintain patient confidentiality at all times and comply with information governance and data protection requirements.
  • Recognise potentially urgent situations and escalate concerns appropriately in accordance with practice procedures.
  • Deal with challenging or sensitive situations calmly, professionally and compassionately.
  • Work collaboratively with GPs, nurses, healthcare professionals, reception colleagues and the wider practice team.
  • Attend team meetings, training sessions and protected learning events as required.
  • Undertake any other reasonable duties appropriate to the role to support the effective running of the practice.

Working HoursThe contracted hours for this position are 26 hours per week, worked as follows:

Experience

Essential

  • Previous experience of working in a customer-facing, reception, administrative or similar role.
  • Experience of dealing with members of the public both face-to-face and over the telephone.
  • Experience of working as part of a team.
  • Experience of managing a busy and varied workload.
  • Experience of using IT systems and accurately entering or processing information.

Desirable

  • Previous experience working within a GP practice, primary care or another NHS/healthcare setting.
  • Experience using a GP clinical system such as SystmOne.
  • Previous experience of care navigation or signposting patients to appropriate healthcare services.
  • Knowledge of NHS primary care services and how a GP practice operates.
  • Previous training or experience in information governance, confidentiality or data protection.

Qualifications

Essential

  • Good standard of general education, including English and Maths or equivalent.
  • Good written and verbal communication skills.
  • Basic IT skills and confidence using computer systems.

Desirable

  • Previous experience working within a GP practice, primary care or another NHS/healthcare setting.
  • Experience using a GP clinical system such as SystmOne.
  • Previous experience of care navigation or signposting patients to appropriate healthcare services.
