The role involves being part of a busy reception, assisting
patients by directing and signposting to the appropriate healthcare services or
professionals efficiently. Responsibilities
include receiving and make telephone calls as required, creating a positive image
for patients and visitors, handling administrative tasks to ensure the smooth
operation of the practice, including support for clinical staff and the team.
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Transfer calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Monitor online requests and assign online consultations to the appropriate person, in line with practice protocol.
- Enter requests for home visits into the appointment book, ensuring careful recording of all relevant details and where necessary refer to the doctor on duty.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required and in a timely manner, to ensure that all information is available when needed.
- Ensure that all office and public areas are kept tidy for use.
We have a list size of approximately 6,300 patients, who often
have high levels of deprivation and ill health. Working here offers a real
opportunity to make a difference in the lives of our patients.
Our practice has 5 GPs, Practice Manager, Office Manager, nursing
team and eight reception and administrative staff. We also have access to
clinical staff that work across multiple sites in our PCN.
We are a training practice for the Black Country Vocational
Training Scheme and have Medical Students from Worcester and Birmingham Universities.
Skills and Attributes
Essential
- Communication skills, both written and verbal.
- Understanding of receptionist role
- understanding of confidentiality
- able to learn new computer programmes quickly.
- Willingness to learn.
- Understanding of confidentiality and what is required to maintain it.
- Be willing to contribute to the team effort.
- Ability to work flexibly throughout surgery opening hours.
- Have an excellent attendance record and time keeping skills
Desirable: - Negotiation and conflict management skills; - Communication of difficult messages to patients; - Able to speak other languages.
Qualifications
Essential: - Maths and English GCSE at grade C or above.
Desirable: - AMSPAR in medical administration.
Experience
Essential: - Experience of working within a team.; - Experience of providing good customer service.
Desirable: - Experience of working in general practice.; - Experience in using EMIS web.
