Maintain and monitor the practice appointment

system

Process personal, telephone and e-requests for

appointments

Answer incoming phone calls, transferring

calls or dealing with the callers request appropriately

Signposting patients to the correct service

Initiating contact with, and responding to,

requests from patients, team members and external agencies

Clinically code data and enter patients

healthcare information on to the clinical system (EMIS)

Data entry of new and temporary registrations

and relevant patient information as required

Direct requests for information, i.e. insurance/solicitors letters and DVLA forms to the

administrative team

Completion of Subject Access Requests using dedicated software (training provided)

Manage all queries as necessary in an

efficient manner

Maintain a clean, tidy, effective working area

Monitor and maintain the reception area and

notice boards

Support all clinical staff with general tasks

as requested

Action incoming and outgoing emails and

correspondence as necessary

Filing/photocopying and retrieving paperwork

Processing repeat prescriptions in accordance

with Practice guidelines

Scan patient related documentation and attach

scanned documents to patients healthcare records

Complete opening and closing procedures in

accordance with the duty rota

Training on all systems will be provided

We are a small, friendly, and community-focused rural GP practice located just outside Hanmer. We are proud of the strong relationships we have built with our patients and the personal, caring service we provide.

As a training practice for medical students from Keele University, we are committed to supporting learning and development while continuing to deliver high-quality patient care.

You would be joining a welcoming and supportive team that works closely together, helping one another to provide the best possible experience for our patients. As our Receptionist/Administrator, you will play an important role in the day-to-day running of the practice and be a valued member of our team.

Qualifications

Essential

  • Good standard of general education

Desirable

  • GCSE (or equivalent) in English and Mathematics Grade C (4) or above

Experience

Essential

  • Experience of administrative duties
  • Experience in working with the general public/patients

Desirable

  • Experience of working in primary care

Skills

Essential

  • Excellent communication skills (written and oral)
  • Strong IT skills
  • Clear, polite telephone manner
  • Competent in the use of Office and Outlook
