JOB DESCRIPTION - RECEPTIONIST
This role is an afternoon vacancy to support our team 12-6.30pm Monday to Friday. Additional hours may be available to provide holiday cover.
1. Receive patients for appointments, queries, and new registrations.
2. Receiving, opening, handling, scanning mail and items transferred between surgeries. Double check scanning.
3. Administration of/for patients, e.g. prepare registration forms etc.
4. Make appointments for patients in person or by telephone.
5. Informing Reception Supervisor/Practice Manager of all foreseeable problem areas, e.g. large demand for appointments, or too few appointments available when consulters are absent.
6. Cash handling when dealing with fees for certificates and dispensing, &etc.
7. Dealing with all telephone enquiries other than from patients, e.g. hospital appointments, results, transport, &etc.
8. Taking and dealing appropriately with all requests for home visits.
9. Maintaining confidentiality at all times with due regard to telephone conversations and conversation between members of staff in public places.
10. Keeping reception desk and surrounding area clean and tidy at all times, renewing outdated paperwork on notice boards and making sure health and safety regulations are observed.
11. Receive, list and make ready for collection specimens giving particular care that these are handled safely.
12. Ensure that telephone system diversions are active and escalate problems to supervisor.
13. Process repeat prescription requests and forward relevant advice from GPs.
14. Contact the District Nursing Team SPA with GP initiated requests.
15. Assist GP recruitment to research studies (eg VBI).
16. Liaise with other team members.
17. Contribute a share of cover to facilitate the team taking annual leave and/or in the event of other unplanned absences.
The practice currently has a list of just over 13500 patients which is due to expand to accommodate local housing developments. There are two surgery sites. The main surgery is at Alconbury, five miles north of Huntingdon. The branch surgery (which serves 55% of the practice population) is at Brampton, one mile west of Huntingdon. There are five Partners, six salaried doctors, and up to ten GP Registrars. We also host year 4, 5 and 6 Medical Students from Cambridge University.
The Team
This is led by the Practice Manager, Melanie Gearing. She is supported by an experienced admin team consisting of a Management Assistant, eleven Receptionists, four Medical Secretaries and six Dispensers.
Our five Nurse team between them provide a full time treatment room service for both surgeries and are supported by four Health Care Assistants who perform purely technical clinical tasks. Our nurses see many patients for initial advice on minor illnesses, as well as performing more traditional nursing duties including family planning.
As a member of the A1 Primary Care Network we have a physiotherapist, Clinical Pharmacist, Pharmacy Technician, health and wellbeing coach and Social Prescriber attached to the Practice to support us in our delivery of care to patients.
