Attend to all communications, for example, emails, faxes, investigation results/information on a daily basis. Use judgement to undertake a preliminary assessment of content to determine the appropriate course of action and the priority for the Governance Team's attention
Use of e-mail, electronic diaries, intranet/internet, word processing
Working on projects as directed by the Operational Manager
Organise and support higher level meetings, such as medical and nursing divisional governance meetings, and directorate governance meetings on behalf of the Clinical Governance Manager or other senior staff, including attending to take formal minutes as necessary, and the distribution of agendas and associated papers for review
Obtain patient's case notes and monitor the requesting and tracking of incidents/investigations bringing information to the attention of the Governance Manager as soon as it is available
Provide accurate and confidential information to assist with data entry, strictly adherent to Caldicott and Data Protection Act and retrieval of patient information via the PAS, RIS, ICE and other departmental computer software programmes
Using initiative to respond to queries and problems and develop strategies for updating team on actions taken in the Governance Manager's absence
Organise and manage workload to deliver service requirements; and plan ahead and liaise with colleagues to ensure continuity of service provision during annual leave
- Deal efficiently and effectively with direct and indirect (i.e. telephone, face to face)enquiries from all levels of medical and nursing staff, Social Services and otherhealth professionals and staff and patients and their families. Respond tocomplexenquiries, providing routine and non-routine information and non- clinical advice,resolving problems where possible. Communicate appropriately with patientsand their relatives who may be fearful, aggressive or have sensitive concerns,needing reassurance and who may present difficulties in communication e.g.terminally ill patients, deaf patients, mentally ill patients andelderly confusedpatients. To sensitively provide and receive complex information using tact andadapting communication style to meet the needs of individual levels ofunderstanding. Recognise the importance of individual rightsin accordance withlegislation, policy and procedures

- Accurately transcribe all correspondence by touch typing from audio/digitaldictation or shorthand using knowledge of medical terminology. Generateroutineand non-routine correspondence independently
- To develop, implement and maintain office systems to enable the GovernanceTeam to operate smoothly and effectively, this will include developing andmaintaining databases and office procedures information
- Use of e-mail, electronic diaries, intranet/internet, word processing
- Providing general clerical duties including filing and photocopying
- Working on projects as directed by the Operational Manager.
- Arranging a variety of meetings, workshops and presentations
- Organise and support higher level meetings, such as medical and nursingdivisional governance meetings, and directorate governance meetings on behalfof the Clinical Governance Manager or other senior staff, including attending totake formal minutes as necessary, and the distribution of agendas andassociated papers for review
- Any other duties deemed appropriate to the banding of this role
