Learning and development coordination
- Support the Head of People and Organisational Development in coordinating Tower's learning and
development programme.
- Maintain an accurate overview of agreed training and development requirements across the
organisation.
- Coordinate approved internal and external training, including trainers, providers, venues, online
arrangements, resources, attendance and supporting materials.
- Work with managers and teams to identify and respond to learning requirements, referring
strategic priorities and requests requiring approval to the appropriate lead or committee.
- Research relevant learning opportunities, course providers and costs and prepare information to
support approval decisions.
- Coordinate approved training requests, qualifications and workforce development activity and
maintain clear records of progress and outcomes.
- Promote learning opportunities and encourage staff engagement with continuing professional
development.
- Provide practical feedback and suggestions to improve the accessibility, organisation and
effectiveness of learning activity.
- Practice Learning Time and training delivery
- Coordinate and chair Practice Learning Time sessions, including maintaining the schedule, liaising
with presenters, arranging resources and facilities, communicating with staff, monitoring attendance
and ensuring agreed follow-up actions are recorded.
- Support the development of Practice Learning Time programmes, presentations, slide packs and
associated learning materials in conjunction with the Head of People and Organisational
Development and relevant subject matter experts.
- Support the design and development of internal training sessions, guidance, e-learning resources
and other learning materials.
- Deliver training within the postholder's knowledge and competence or following appropriate
training, guidance and approval.
- Coordinate and deliver Basic Life Support training, subject to maintaining the required knowledge
competence and accreditation, and coordinate other approved clinical or non-clinical training with
the appropriate clinical lead, manager or accredited trainer.
- Assist colleagues who deliver internal training with planning, materials, organisation, attendance
records and evaluation.
- Gather participant feedback and use it to recommend practical improvements to future sessions.
- Induction and onboarding
- Coordinate and support effective induction arrangements for new clinical and non-clinical
employees.
- Deliver agreed elements of the organisational induction programme, including an introduction to
Tower Family Healthcare, while coordinating specialist input from HR, IT and other relevant teams.
- Maintain induction schedules, checklists, packs, presentations and supporting resources.
- Work with managers and subject matter experts to ensure new starters receive appropriate
organisational, role-specific and systems training.
- Coordinate clinical computer and systems training for trainees and other relevant staff using
approved internal trainers.
- Support induction arrangements for trainees, medical students and other learners undertaking
placements within Tower.
- Monitor completion of agreed induction requirements, follow up outstanding activity and escalate
concerns where appropriate.
- Gather feedback and contribute to improvements in the onboarding experience.
- Clinical and non-clinical development
- Coordinate approved clinical and non-clinical training and development activity with the relevant
managers, clinical leads and the Head of People and Organisational Development.
- Liaise with employees and managers regarding development requests, course arrangements
competency requirements and agreed next steps.
- Support relevant learning, development and competency programmes where appropriate, while
ensuring clinical decisions and competency sign-off remain with suitably qualified leads.
- Maintain records of agreed development activity, attendance, completion and supporting
evidence.
- Prepare training requests and supporting information for consideration through Tower's agreed
approval routes.
- Training systems compliance and reporting
- Administer relevant learning and training systems and ensure staff are appropriately registered and
able to access required learning.
- Maintain accurate, timely and confidential training and development records, including
attendance, completion, certificates and renewal dates.
- Monitor statutory, mandatory and role-specific training completion and identify overdue or
upcoming requirements.
- Issue reminders, follow up outstanding requirements and escalate continuing non-compliance to
the appropriate manager or the Head of People and Organisational Development.
- Run and maintain routine training compliance reports and provide accurate information for
managers and relevant organisational meetings.
- Identify apparent gaps, trends or discrepancies within training data and raise these with the
appropriate lead for review.
- Provide supporting evidence for workforce learning audits, inspections and compliance reviews as
required.
- Contribute to improvements in training systems and processes that strengthen data accuracy and
accessibility.
- GPnav and digital development
- Support the promotion, implementation and ongoing development of GPnav and other future
digital solutions under the direction of the relevant project leads.
- Develop and deliver approved GPnav demonstrations, training, guidance and supporting resources
for internal and external users.
- Support onboarding and implementation activity for employees, managers, customers and other
users where required.
- Gather feedback from users, prospective customers and stakeholders and communicate issues
suggestions and development opportunities to the relevant project leads.
- Participate in user testing and implementation activity when required, recording and
communicating feedback accurately.
- Support stakeholder engagement, relationship building and follow-up activity connected with
GPnav.
- Attend approved conferences, exhibitions, networking events and relevant primary care or digital
healthcare forums to promote GPnav, build relationships and identify relevant developments and
opportunities.
- Represent Tower professionally at external events and provide appropriate feedback and updates
following attendance.
- Education placements and external relationships
- Coordinate and support medical student inductions, timetables, work schedules and placement
arrangements.
- Support the coordination of trainee learning and development requirements as directed by the
appropriate educational or clinical lead.
- Coordinate trainer meetings, conferences and other approved learning events.
- Maintain effective working relationships with universities, colleges, NHS organisations, training
providers and other relevant partners.
- Liaise with external providers regarding course content, dates, availability, costs, bookings, changes
and completion evidence.
- Identify potential partnership or learning opportunities and refer these to the appropriate lead for
consideration.
- Policies processes and continuous improvement
- Contribute to the development, review, communication and implementation of learning and
development policies, procedures and processes under the direction of the Head of People and
Organisational Development.
- Apply agreed training and approval processes consistently and raise uncertainties or exceptions
with the appropriate manager.
- Support the introduction and communication of approved learning and development initiatives.
- Provide practical feedback and suggestions to improve induction, training and workforce
development processes.
- Support systems and processes that enable managers and employees to take appropriate
responsibility for their learning and development.
- Communication administration and organisation
- Act as a central point of contact for routine training and development enquiries.
- Build effective working relationships with employees, managers, clinicians, trainees, students
trainers, providers and external partners.
- Communicate clearly and professionally through face-to-face, written and digital channels and
adapt communication to meet differing needs and levels of experience.
- Manage and prioritise a varied workload, maintain clear action records and meet agreed deadlines.
- Use Microsoft 365 and other relevant systems to produce correspondence, presentations, reports
spreadsheets, learning resources and records.
- Coordinate meetings, training sessions and events and complete appropriate follow-up actions.
- Exercise initiative in resolving routine matters and escalate decisions, risks, expenditure or
concerns outside the role's authority.
- Work effectively independently and as part of wider teams and work flexibly across Tower sites and
services when required.
- Financial responsibilities
- Obtain and record course information and costs to support training requests and approval
decisions.
- Forward approved invoices and payment information to Finance in accordance with agreed
processes.
- Maintain accurate records of approved course costs and training agreements where required.
- The postholder does not hold or manage the organisational training budget and must not commit
expenditure without the appropriate approval.
