This post will provide a specialised, comprehensive and confidential administration service for the Medical Education & Staffing Department at the Trust in accordance with Departmental, Trust and National Standards, policies and procedures and the Trust's contractual obligations as the commissioned provider of the Psychiatry Training Course (PTC) on behalf of the Yorkshire & Humber School of Psychiatry.
The post holder will work as part of the PTC Team to provide administration support to the Curriculum Delivery Lead, Training Programme Directors, PTC Manager, Associate Course Organisers, PTC Coordinator and other key local and regional stakeholders by providing administrative support associated with the delivery of the Yorkshire and Humber Psychiatry Training Course.
The postholder will be required to work with autonomy, managing their own workload to effectively deliver a wide and complex range of administrative duties, sometimes withcompeting demands and of a sensitive and confidential nature. The post holder will be expected to advise postgraduate doctors in training, trainers and educational leadership on matters relating to the delivery of the PTC or associated events and meetings.
To organise and prioritise own workload.
To support the provision of an effective secretarial and administrative service to the team whilst maintaining a high degree of confidentiality in relation to any information about staff and service changes organisational wide.
To deal efficiently and competently on a daily basis with complex administrative tasks often with tight deadlines.
Ensure systems are in place to capture and retrieve statistical information, maintaining databases and producing reports as requested.
Preparation, distribution and circulation of relevant documents and information both internally and externally as required.
Be the first point of contact, provide non-clinical advice and exercise own judgement when dealing with enquiries and independently communicate effectively on behalf of the Team. The post holder will be expected to resolve queries wherever possible, taking messages or redirecting calls as appropriate and ensuring timely action is taken.
Be sympathetic and sensitive to the requirements of staff when communicating either face to face or by telephone when dealing with a difficult situation e.g. aggressive or demanding behaviour.
Deal with enquiries to the teams and liaising with professionals from external agencies SHPU, which includes maintaining a confidential and accurate message system.
Directing/re-directing paperwork and emails.

Training and Qualifications
Essential
- Minimum of 2 x GSCE's grade C or above (or equivalent) to include Maths & English
- A level / NVQ Level 3 or equivalent in an administrative / business related topic (or equivalent experience)

- Experience of comparing and reconciling data across multiple information systems
- Experience of making decisions, formulating and adjusting plans based on complex data from multiple sources
- Working in an administrative capacity in an office environment.

- Working in an administrative capacity in an NHS / Education office environment
Knowledge and Skills
Essential
- Working knowledge of Microsoft Office.
- Working knowledge of general admin procedures, systems and quality monitoring.
- Ability to deal with confidential/sensitive information
- Understanding of confidentiality, Information Governance and the GDPR
- Highly developed interpersonal and communication skills
- Able to prioritise work effectively for self and others and deal with non-routine tasks under pressure
- IT skills in a range of different applications
Desirable
- Working knowledge of human resources policies/procedures and staff supervision.
- Working knowledge of ESR/Trac/rostering systems
- Understanding of Postgraduate and Undergraduate Medical Education and/or Medical Staffing
