We are seeking an experienced and enthusiastic Team Administrator with proven administrative skills to join the Reflexions Service.
As part of this busy team, you will provide an efficient, effective, professional, and confidential administrative and secretarial service to a team of clinicians. Responsibilities will include diary management, booking appointments, and maintaining both paper and electronic records in accordance with Trust policies.
The role is demanding and varied, requiring excellent administrative skills, confidence, initiative, and the ability to work autonomously. Applicants should be competent audio typists and have a good working knowledge of Microsoft Office. The successful candidate will be expected to think on their feet, adapt to changing priorities, and provide flexible administrative cover during periods of annual leave and sickness absence to ensure continuity of service delivery.
You will join a professional, supportive and approachable team that values collaboration and recognises the importance of a positive working environment in delivering high-quality care.
You will be required to work closely with the Service Manager to support the ongoing development of the service and administrative systems, as well as overseeing the collection and presenting of service wide activity data.
Qualifications
Essential: - RSA II/OCR or other computing qualification or equivalent experience; - GCSE English Grade C or above or equivalent qualification.
Desirable: - NVQ3 in Business Administration or equivalent qualification
Skills
Essential
- Excellent communication and interpersonal skills when dealing as first point of contact with all levels of staff in person, on the telephone and in written correspondence
- Effective handling of highly confidential information ensuring high level of discretion at all times
- Excellent planning and organising skills
- Ability to be adaptive and flexible in response to additional workload
- Able to work to tight deadlines whilst ensuring work is of a high standard
- Ability to work in a pressurised environment
- Excellent word processing skills including accurate and speedy typing and audio typing
- Ability to work on own initiative
Experience
Essential
- Experience of providing administration support to a team of staff including senior managers or dedicated support to a senior member of staff
- Experience of co-ordinating complex meetings involving staff from other departments/organisations
- Experience of maintaining information systems e.g. databases
- Demonstrable commitment and understanding of the importance of maintaining confidentiality at all times
- Demonstrable commitment to equality and diversity e.g. awareness of potential considerations when booking venues and inviting delegates to meetings
Desirable: - Understanding of key service area processes
