Core Receptionist duties
Dealing with patient queries face to face, over the
telephone and online.
Dealing with appointment requests; face to face, over the telephone and online.
Greeting and directing patients to booked appointments
Greeting and directing visitors to the surgery
Taking requests for prescription medication
Registering new patients
Dealing with incoming tasks from internal and external
sources
Inputting data into the patients healthcare records as
necessary
Making referrals to, and liaising with community teams and other external services
Handling non-NHS report requests, including collecting
payments from patients for non-NHS services
Input and extract information from the Practice clinical
system
Accurately
detail information on patients records within the clinical system
Maintain
and monitor the practice appointment system
Process
personal, telephone and e-requests for appointments
Answer
incoming phone calls, transferring calls or dealing with the
callers request
appropriately
Signpost
patients to the correct service
Initiate
contact with and respond to, requests from patients, team members and external
agencies
Data
entry of new and temporary registrations and relevant patient information as
required
Input
data into patients healthcare records as necessary
Direct
requests for information, i.e., DSAR, insurance/solicitors letters and DVLA
forms to the administrative team
Manage
all queries as necessary in an efficient manner
Carry
out system searches as requested
Support
all clinical staff with general administrative tasks as requested
Undertake
a broad spectrum of administrative duties commensurate with the role
Be
an integral part of the general practice team
Act
as a chaperone as required
Be
aware of duties and responsibilities regarding current legislation and adhere
to practice policies and procedures on safeguarding adults and safeguarding
children
Support
in the delivery of enhanced services and other service requirements
Undertake
all mandatory training and induction programmes
Contribute
to and embrace the spectrum of clinical governance
Maintain
a clean, tidy, effective working area at all times

post-holder is to manage and assess risk within the areas of responsibility,

Patients entrust and permit us to collect and
retain sensitive information relating to their health and other matters
pertaining to their care. They do so in confidence and have a right to expect

Our current team comprises or GP's, ANP's, Nurses and Pharmacists, supported by friendly and experienced administrative and management teams.
We have a patient list size of over 8,200 patients, working from modern, purpose-built premises.
Experience
Essential
- Experience of working with the general public
Desirable
- Experience of working in a healthcare setting
- Experience of administrative duties
Qualifications
Essential
- A good standard of education with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English
Desirable
- NVQ Level 2 in Health and Social Care
Knowledge and skills
Essential
- Excellent communication skills and effective in communicating and understanding patient needs
- Competent in the use of MS Office and Outlook
- Ability to use own initiative, discretion, and sensitivity
- Ability to work as a team member and autonomously
- Sensitive and empathetic in distressing situations
- Good organisational skills
- Punctual and committed to supporting the team effort
- High levels of integrity and loyalty
- Clear, polite telephone manner
- Flexible and cooperative
Desirable
- Clinical IT system user skills and the ability to record accurate notes
- Understanding of safeguarding adults and children
