As our Receptionist/Administrator, you'll be the first point of contact for patients and visitors at the hub welcoming them, managing phone calls and messages, and booking appointments on EMIS Web.
You'll keep the reception and waiting areas running smoothly, support our clinical and administrative teams with day-to-day admin and record-keeping, and help coordinate meetings and events across the PCN.
You'll work closely with hub staff, practice teams and colleagues across the network, always handling patient information with care and in line with confidentiality and information governance requirements.
JOB TITLE: PCN Hub Receptionist/Administrator
SALARY: Dependent on experience
HOURS: Full-time / 37.5 hours per week
CONTRACT TYPE: Permanent
BASE: Medway Rainham Primary Care Network
- Provide a warm, compassionate welcome to patients and visitors at the hub reception, seeing the whole person and not just the reason for their visit
- Manage incoming telephone calls, queries and messages, directing them appropriately
- Book, amend and cancel patient appointments using EMIS Web
- Support clinical and administrative teams with general office tasks, including data entry and record-keeping
- Maintain patient confidentiality in line with GDPR and NHS information governance requirements
- Manage the reception and waiting areas, ensuring they are tidy, welcoming and stocked with relevant information
- Liaise with other hub staff, PCN teams and member practices to support smooth day-to-day operations
- Support the planning and smooth running of meetings and events, including room set-up, materials and attendee coordination
- Bring the PCN's values of compassion, collaboration and community to everyday interactions with patients, colleagues and the wider neighbourhood
- Support with stock checks and other general administrative duties as required
- Undertake any other duties suitable for the role, as directed by the PCN Manager / line manager
Qualifications
- Essential: GCSE (or equivalent) in English and Maths
- Desirable: NVQ/qualification in Business Administration or Customer Service
Experience
- Essential: Reception experience, including previous experience working in a GP surgery
- Desirable: Experience within a PCN or wider NHS setting
Skills
- Essential: Excellent communication and interpersonal skills; confident telephone manner; experience using EMIS Web
- Desirable: Experience using EMIS Enterprise
- Essential: Good IT skills, including Microsoft Office (Word, Excel, Outlook) and Microsoft Teams
- Desirable: Touch-typing / data entry speed

- Essential: Friendly, approachable and professional manner; ability to remain calm under pressure
- Desirable: Understanding of primary care and how PCNs work
- Essential: Well organised, with good attention to detail and ability to prioritise
