The post combines traditional senior PA responsibilities with enhanced business, digital and analytical support.

You will coordinate : Complex diaries and meetings, support governance processes, track actions and assist with the preparation and presentation of operational, Performance and workforce information.

A significant aspect of the role also involves working confidently with data, including using Microsoft Excel and PowerBI to analyse, interpret and present information to support service oversight and decision-making.

Shortlisted candidates will be invited to complete an assessment stage prior to interview. These assessments will reflect tasks relevant to the role and are designed to evaluate skills the successful candidate will be expected to demonstrate in post. Only candidates who are successful at the assessment stage will progress to interview.

Qualifications & Training

Essential

  • Diploma in administration, business or management, or equivalent relevant experience in a senior administrative or PA role.

Desirable

  • Degree in Administration or Business Management
  • Project Management experience
  • Training or qualifications in data analysis, Excel or PowerBI.

Experience

Essential

  • Significant experience in a senior administrative or PA role supporting senior managers or leadership teams.
  • Experience of diary management, meeting coordination, minute taking and action tracking.
  • Experience of preparing reports, presentations and formal correspondence.
  • Experience of working in a complex, fast-paced organisational environment
  • Demonstrated ability to sustain initiative and direction under difficult circumstances.
  • Experience of working within complex teams and across complex systems, including exercising own judgement to manage complex situations and resolve problems
  • Ability to work collaboratively and in partnership with other senior managers and professions.
  • Experience in supporting Data Quality tasks

Desirable

  • Experience working within NHS or health and social care settings
  • Experience supporting clinical or multidisciplinary leadership teams.
  • Experience of producing analytical reports or dashboards to support decision-making.
  • Project Management.

Knowledge

Essential

  • Knowledge of a range of administration systems
  • Proficient knowledge of Microsoft Office applications including Word, Outlook and PowerPoint, with intermediate/advanced knowledge of Microsoft Excel
  • Knowledge of electronic patient record systems (RIO)
  • Understanding of confidentiality, information governance and data protection principles.

Desirable

  • Knowledge of NHS systems and processes
  • Understanding/experience of Clinical Governance
  • Relevant short courses in business administration
  • Strong working knowledge of PowerBI.
  • Awareness of mental health service environments and challenges.

Skills & Abilities

Essential

  • Excellent written and verbal communication skills, with the ability to communicate professionally at senior level.
  • Ability to learn and apply new skills quickly, including new systems, digital tools, reporting requirements and ways of working, in response to changing service priorities and organisational needs.
  • Strong organisational skills with the ability to prioritise and manage competing demands.
  • High level of accuracy and attention to detail.
  • Ability to analyse complex information and present it in a clear and accessible format.
  • Ability to use initiative, solve problems and work autonomously within agreed parameters.

  • Experience of teaching IT skills.
  • Experience of presenting and participating in delivery of conferences / training days.
  • Experience of improving or streamlining administrative or reporting processes.
