The Medical Secretary / Referral Administrator is responsible for providing administrative and secretarial support to clinicians while ensuring patients receive timely and appropriate access to secondary care services. The role involves processing referrals, managing clinical correspondence, maintaining accurate patient records, and acting as a key point of contact between patients, GPs, hospitals, and other healthcare providers.

The post holder will manage referrals through NHS systems, support patients with referral enquiries, and undertake a range of medical secretarial duties including handling correspondence, actioning clinical tasks, and maintaining confidentiality at all times. Strong organisational, communication, and IT skills are essential, along with the ability to work effectively in a busy healthcare environment.

Previous administrative or healthcare experience is required, with NHS, General Practice, e-Referral Service (e-RS), and SystmOne experience desirable. The successful candidate will demonstrate professionalism, compassion, attention to detail, and a commitment to delivering high-quality patient care and service improvement.

The role may require working across the four sites of ACF Medical Group to support operational needs.

Angmering, Coppice and Fitzalan Medical Group (ACF) is a recently merged practice and now has a patient population of 29,500 patients. All the practices are situated in a great location on the South Coast. ACF holds an abundance of knowledge with a team of 5 Partners, 14 Salaried GPs and a supportive mulit-disciplinary team which includes an experienced and established nursing team, prescribing paramedics and a prescribing team. There is a large, developed team that support our reception and administrative areas across all sites.

We value a work life balance and work closely with each other to support when needed. The role is a great opportunity to also work closely within a team of highly skilled secretaries and administrators.

Qualifications

Essential

  • GCSE grade A to C in English and Maths

Experience

Essential

  • Previous experience in an administrative, secretarial, or healthcare setting.
  • Experience of working with confidential information.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management skills.
  • Ability to prioritise workload and meet deadlines.
  • Good IT skills, including Microsoft Office applications.
  • Ability to work independently and as part of a team.

Desirable

  • Previous experience working in General Practice or the NHS.
  • Knowledge of NHS e-Referral Service (e-RS).
  • Experience using clinical systems such as SystmOne.
  • Medical terminology knowledge.
  • Understanding of NHS referral pathways and cancer referral processes.
