We are seeking an organised and proactive Medical Secretary to provide comprehensive administrative and secretarial support to the Consultant Psychiatrist(s) and wider multidisciplinary team. The successful candidate will play a key role in ensuring the smooth day-to-day running of clinical services by managing medical correspondence, coordinating meetings, maintaining accurate patient records, and supporting effective communication across the hospital. Key Responsibilities
Provide high-quality secretarial support to Consultants and the wider medical team.Audio and copy type clinical correspondence, clinic letters, reports and discharge summaries.Manage Consultant diaries, appointments and meetings.Coordinate multidisciplinary team (MDT) meetings, preparing agendas, taking minutes and distributing actions.Maintain accurate electronic patient records and ensure documentation is filed promptly.Liaise professionally with GPs, CAMHS teams, families, commissioners and external healthcare professionals.Process referrals and support patient admissions and discharge administration.Answer telephone and email enquiries in a professional and confidential manner.Ensure all correspondence is completed within agreed timescales.Monitor Consultant inboxes and action communications appropriately.Support compliance with GDPR, information governance and confidentiality standards.Order office supplies and assist with general departmental administration as required. Previous experience working as a Medical Secretary or in a healthcare administrative role.Excellent typing skills and Minute takingStrong organisational and time management abilities.High level of accuracy and attention to detail.Excellent verbal and written communication skills.Proficient in Microsoft Office (Word, Outlook, Excel and Teams).Ability to prioritise workload in a busy clinical environment.Understanding of patient confidentiality and GDPR requirements.
