The Medical Secretary will provide administrative and secretarial support to the clinical team, helping to ensure the smooth and efficient running of the practice. Main duties will include processing referrals, preparing and typing correspondence, managing clinical documentation, handling telephone and email enquiries, maintaining accurate patient records, and supporting clinicians with administrative tasks.

The post holder will be expected to manage confidential information appropriately, communicate professionally with patients, colleagues and external organisations, and prioritise work effectively in a busy GP practice environment.

  • Answering phone calls and directing enquiries appropriately
  • Maintaining accurate patient records and updating medical files securely
  • Preparing and processing correspondence, reports, and medical documentation
  • Handling incoming and outgoing mail, emails, and faxes
  • Assisting with billing procedures and processing insurance claims where applicable
  • Supporting medical staff with administrative tasks as required
  • Complying with confidentiality policies and data protection regulations at all times

  • Proven office experience, preferably within a healthcare setting
  • Strong administrative skills with proficiency in office software programmes such as MS Office, Emis
  • Excellent organisational abilities and attention to detail
  • Effective communication skills, both written and verbal
  • Ability to prioritise tasks efficiently in a fast-paced environment
  • Professional demeanour with a compassionate approach towards patients and colleagues
  • Knowledge of medical terminology is advantageous but not essential; training will be provided for the right candidate

Experience

Essential

  • Previous administrative or secretarial experience.
  • Experience handling confidential information.
  • Experience dealing with telephone, email and written enquiries.

Desirable

  • Previous experience working in a GP practice, NHS setting or other healthcare environment.
  • Experience processing referrals, clinical correspondence or medical documentation.

Qualifications

Essential

  • Good standard of education, including English and Maths or equivalent experience.
  • Good IT skills, including experience using Microsoft Office or similar systems.

Desirable

  • Experience using EMIS or another clinical system.
  • Medical terminology qualification or relevant secretarial/admin training.
