As part of our dedicated Reception Team, you will play a key role in delivering an excellent patient experience. Acting as the first point of contact, you will provide a welcoming, professional, and confidential service to patients, clinicians, and colleagues.
We are looking for an approachable and motivated individual with strong interpersonal and IT skills. The ideal candidate will be organised, dependable, and committed to maintaining the high standards of accuracy, confidentiality, and patient care.
JOB PURPOSE
To provide excellent, confidential and professional service to patients and clinical staff, to ensure the smooth running of reception.
- Greet patients and visitors/health professionals in a courteous and professional manner.
- Deal with patient and health professional enquiries, as they arise, by phone, online consultation platform and electronic communication (text/email) or in person including booking home visits and advising test results within Practice Policy.
- Booking, amending and cancelling patient appointments, ensuring computerised appointment system is up to date.
- Registering of new patients ensuring relevant checks are made. Registration of patients for Patient online services.
- Process requests for repeat prescriptions by post or online within a timely manner to include medicines management administration.
- Accessing 111 HealthHero overnight reports and saving to patient records.
- Upload documents received via electronic download via Docman.
- Dealing with and responding to incoming Practice emails/ electronic consultations within the relevant time scale.
- Open, stamp and distribution of post.
- Email correspondence when requested adhering to GDPR protocols.
- Scanning of patient information, workflow through Docman, and actioning of subsequent tasks.
- Responding to staff/ management/nurse/GP e-mails/screen messages/requests during surgery in a timely manner.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
- Ensure consultation rooms are prepared in readiness for the start of each day and checked at the end of the day leaving them tidy and secure.
- General housekeeping within the Practice in order to achieve Health and Safety standards, including making GPs/ nurses/admin staff drinks and filling/emptying dishwasher.
- Open and lock up surgery using Practice opening/closing protocol as required between 0800 and 1830.
- Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.
- This job description is not exhaustive and may be adjusted periodically after review and consultation. You will also be expected to carry out any reasonable duties which may be requested and deemed suitable by the Management/Partners.

Experience
Essential
- Practical experience of working with others

Desirable: - Experience of working within a General Practice Reception environment
Qualifications
Essential: - Good standard of general education; - GCSE English
Desirable: - Appropriate qualification in medical reception eg AMSPAR or NVQ in Customer Service; - GCSE Maths
