Greet patients and visitors in a polite, professional, and welcoming manner

Manage incoming calls, book, change & cancel appointments, and handle enquiries efficiently
- Handle incoming and outgoing correspondence
- Manage emails and online patient queries

Maintain accurate and up-to-date patient records using clinical systems

Liaise effectively with GPs, nurses, and other healthcare professionals

Ensure patient confidentiality is maintained at all times.
- Maintain confidentiality and comply with data protection requirements
- Support clinicians and the wider practice team with administrative tasks
- Keep the reception area tidy and well organised

Grosvenor House Surgery is located in West Ealing, W13 9BE and is a member of South Central Ealing PCN. The practice list size of 5500 patients.
Staff comprise of 5 GPs, 2 Practice Nurses, 2 GP Assistants, a pharmacy clerk, 2 phlebotomist and 6 reception & administrative staff. The practice uses SystmOne operating system.
South Central Ealing PCN provides additional clinical and administrative staff (Clinical Pharmacy team, First Contact Physiotherapist, Mental Health Practitioner, Paramedic home visiting service and Social Prescriber) to support the practice.
Qualifications
Essential
- Educational Qualifications: Usually a high school diploma or equivalent. GCSE grade A to C in English and Maths.
- Handling appointment scheduling efficiently.
- Communication & Interpersonal Skills:
- Clear verbal and written communication. Friendly and professional telephone manner.
Desirable
- Administrative & IT Skills: Familiar with SystmOne, Microsoft Office for emails.
- Ability to deal with patients from diverse backgrounds
Experience
Essential
- Front Desk Experience:
- Working in roles with direct public interaction, e.g., reception
- Handling telephone calls professionally.
Desirable
- Experience of working in a GP practice
- Experience managing patient appointments
