  • Maintain accurate financial records using Sage for Small Business Plus
  • Support the monitoring of organisational and service budgets and forecasts
  • Produce monthly financial reports, highlighting variances and trends
  • Assist with budget setting and financial planning activities.
  • Monitor project and service expenditure against allocated budgets
  • Support the preparation of financial information for Board reporting

Payroll Coordination- Collate and submit monthly payroll information to the external payroll provider

  • Review payroll reports and ensure accuracy before approval
  • Manage payroll-related queries from employees
  • Coordinate pension administration and monthly contribution submissions
  • Ensure compliance with payroll legislation and statutory requirements

Primary Care Funding and Reconciliations- Reconcile Primary Care Network funding streams

  • Manage and reconcile ARRS claims and reimbursements
  • Support the monitoring of NHS funding income and expenditure
  • Process recharges and shared resource adjustments where required

Bookkeeping and Financial Control- Maintain sales, purchase and general ledgers

  • Process supplier invoices and expense claims
  • Undertake bank reconciliations and cash flow monitoring
  • Complete month-end journals and adjustments
  • Support continuous improvement of financial systems and processes

Budgets, Forecasting and Financial Performance Reporting

Collaborate with the Business Manager to monitor and update annual service and organisational budgets and rolling forecasts.

Produce concise monthly financial performance reports, highlighting key variances between

actual spend and budgeted targets.

Assist the Business Manager in prepping financial datasets and variance commentary for the

GPHC Board and clinical lead(s).

Track expenditure against specific clinical projects and service contracts to monitor baseline

financial health.

Collate and calculate all monthly payroll data (including core staff hours, variable clinical staff hours, and bank workers) and submit accurate variables to the external payroll provider.

Act as the primary internal contact for employee payroll queries, tax code changes, and pension information.

Review, check, and sign off the monthly payroll draft generated by the external provider before final approval.

Coordinate pension scheme data submissions, ensuring accurate tracking of monthly contributions (including the NHS Pension Scheme and/or workplace alternatives).

Reconcile all healthcare funding streams, including PCN budgets and ARRS (Additional

Roles Reimbursement Scheme) claims.

Work with the Business Manager to align monthly ARRS claims with actual payroll data to

guarantee timely and accurate NHS reimbursements.

Process recharges, and shared resource adjustments as required.

Maintain sales, purchase, and general ledgers efficiently within Sage for Small Business Plus.

Process supplier invoices, clinical expense claims, and practice reimbursements in line with

internal control processes.

Perform regular bank reconciliations, as required and monitor debtor ledgers to maintain smooth cash flow

Execute standard month-end adjustments, including posting journals.

Liaise with the Business Manager to ensure ledger codes are used correctly and efficiently and propose new codes as necessary

Be cognisant of compliance with the CQC 5 key lines of enquiry across all service areas

Working with the Business Manager, ensure all financial processes and policies are regularly reviewed and updated, as required

Participate in the CQC self-assessment and action planning where appropriate and necessary

Support staff through any inspection visits from CQC

The post-holder will implement and work alongside the Business Manager on the full range of promotion and management of their own and others health, safety and security as defined in the organisations Health & Safety policy and the Infection Control policy and published procedures. This will include (but will not be limited to):

  • Ensuring job holders across the organisation adhere to their individual responsibilities for infection control and health and safety, using a system of observation, audit and check, hazard identification, questioning, reporting and risk management.
  • Maintaining an up-to-date knowledge of health and safety and infection control statutory and best practice guidelines, and ensure implementation of these across the business
  • Using personal security systems within the workplace according to organisation guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business
  • Making effective use of training to update knowledge and skills, and initiate and manage the training of others
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed
  • Actively identifying, reporting, and correction of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, identifying issues and hazards / risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness across the business in consultation (where appropriate) with other managers and or directors
  • Undertaking periodic infection control training (minimum annually)
  • Routine management of own team, team areas, and maintenance of workspace standards
  • Demonstrate due regard for safeguarding and promoting the welfare of children.

Knowledge and Skills

Essential

  • Strong proficiency in Microsoft Excel (VLOOKUPs, pivot tables, and variance

  • Highly organised and exceptionally capable of managing a comprehensive workload efficiently within a tight, part-time schedule.
  • Ability to explain financial parameters clearly to the Business Manager and
  • handle staff payroll queries tactfully

Qualifications

Essential: - Good standard of education; - Evidence of continuing professional development

Desirable: - Part-qualified or fully qualified AAT (Level 3 or 4).

Experience

Essential

  • Proven history in a blended finance role covering bookkeeping, management reporting support, and payroll coordination
  • Strong, hands-on experience using Sage accounting packages.

Desirable

  • Familiarity with the NHS Pension Scheme and the NHS Pensions Online portal.
  • Experience of NHS budgeting and primary care income streams
  • Prior financial experience within a GP practice, PCN, or NHS setting
