Customer Care Coordinator – New Build Repairs & Defects

Milton Keynes | £25,000–£35,000 | Full-time

Monday to Friday, 8:00 am – 4:30 pm

After successfully completing your six-month probation, you can choose to work from home three days a week.

A leading drylining contractor is looking for an experienced Customer Care Coordinator – New Build Repairs & Defects to take control of customer care repairs, defects and remedial works across new-build developments and occupied homes. Developer-side customer care experience is important: you will understand the pressure of coordinating residents, site teams and operatives when access changes, jobs overrun and priorities move. This is a busy scheduling role that needs excellent organisation and tight, hour-by-hour control of the diary.

  • Take ownership of customer care repairs and defects from instruction through to completion
  • Plan and control the repairs diary hour by hour, scheduling patchers and operatives across multiple developments and occupied homes
  • Liaise closely with developers, site managers, subcontractors, quantity surveyors and homeowners
  • Book appointments, confirm access and keep residents informed when timings or arrangements change
  • Prepare quotations for remedial and chargeable works
  • Process variation orders and monitor approval status
  • Track labour, materials and commercial costs
  • Maintain and update internal Excel trackers and reporting systems
  • Produce weekly and monthly performance reports
  • Monitor the live workload throughout the day, responding quickly to delays, urgent repairs, cancellations and changing site priorities
  • Order materials and coordinate collections
  • Manage customer care documentation, photographs and site records
  • Assist with resolving customer complaints professionally and promptly
  • Support management with operational and commercial administration

  • Customer care experience on the developer or housebuilder side is important, with a clear understanding of repairs and defects in occupied homes
  • Excellent organisation skills are essential, with the discipline to keep a busy diary accurate and under tight control
  • Confident using Excel, Outlook and Microsoft Office
  • Excellent communication skills with confident telephone manner
  • Able to juggle multiple appointments, urgent issues and changing priorities without losing track of detail
  • High attention to detail and strong organisational skills
  • Comfortable dealing with site staff, contractors and residents
  • Professional, customer-focused approach

  • Option to work from home three days a week after successfully completing the six-month probation period
  • Friendly, supportive team with long-standing staff
  • Guidance from an experienced Contracts Manager
  • Varied role with responsibility and autonomy
  • Stable employer with ongoing development opportunities
