Eligibility: You must be eligible to work in the UK
Mereside Medical is a flourishing group of three East Cambridgeshire practices in Ely, Haddenham and Soham, together serving c.45,000 patients. As a group, weve grown rapidly and now employ more than 190 people across the three practices. We are people centred in our approach to work and believe that every contact that a patient has with our staff is as valuable as the next in the patient journey. We believe in clinical excellence, and that general practice is the cornerstone of well-being in our community. We are innovative and forward-looking, and we embrace technology to enable more effective, efficient, and connected ways of working to deliver ever better outcomes for our patients.
Our goal is to deliver on the ambitions laid out in the NHS 10 year Health Plan for England in a way that is locally relevant, valued by patients, and satisfying for our staff. In addition to our core general practice work we run a large clinical research trials unit and we work closely with the ICB to develop innovative ways to improve local service provision. We are the lead practice for one of the two local PCNs and are represented in both.
We are proud to be the host organisation for the NIHR Greater Cambridge & Suffolk Commercial Research Delivery Centre (Primary Care), one of only 14 in England. This prestigious designation recognises our commitment to accelerating commercial clinical research delivery for health and economic benefit across our region.
We are creating this new role in response to the growing administrative demands of commercial clinical research. Changes to the National Contract Value Review (NCVR) process, the continued development of our NIHR Commercial Research Delivery Centre in Primary Care (CRDC), and increasingly ambitious timelines for opening new studies mean that more work needs to be coordinated accurately and efficiently, often in parallel. We are looking for an additional team member to help us streamline these processes, get studies up and running promptly, and ensure our research portfolio continues to run smoothly.
Working closely with the Clinical Research Portfolio Manager, you will provide essential administrative and operational support across our portfolio of commercial clinical trials. This will include supporting study set-up and approvals, managing sponsor queries, coordinating invoicing and participant payments, and maintaining financial trackers and study documentation. You will work collaboratively with our research nurses and clinicians, pharmaceutical sponsors, contract research organisations and study vendors, helping to keep studies organised, compliant and on track.
The role will offer a mix of working from home and working on-site at Staploe Medical Centre, providing flexibility alongside opportunities to work closely with the wider research team.
This is an excellent opportunity for someone looking to develop a career in clinical research. Previous clinical trials experience and a degree are not essential; we are much more interested in finding someone who is highly organised, has excellent attention to detail, enjoys working with information and processes, and is keen to learn. With support from an experienced team, you will have the opportunity to build your knowledge of commercial research and take on greater responsibility as your experience grows.
Trial set-up and regulatory administration
- Help coordinate the administrative steps needed to open new studies, including scheduling meetings, maintaining start-up checklists and following up outstanding actions.
- Prepare, organise and maintain study documentation, including investigator site files, training records, delegation logs and other essential documents, in line with team procedures.
- Track ethics, regulatory and sponsor approvals, study amendments and site activation requirements, escalating gaps or delays to the Portfolio Manager.
- Liaise with sponsors, contract research organisations and internal colleagues to obtain documents and keep the team informed of administrative deadlines.
- Help coordinate study vendor arrangements, equipment, supplies and external services, keeping records and flagging any outstanding requirements.
Invoicing, budgets and participant payments
- Prepare draft study invoices using agreed study budgets, visit records and payment schedules, and work with the practice finance team to ensure accurate billing.
- Maintain clear records of invoices raised, payments received, outstanding amounts and any queries requiring follow-up.
- Arrange, record and reconcile participant reimbursements and other agreed study payments in a timely and confidential manner.
- Identify discrepancies or missing financial information and refer matters requiring budget or contractual decisions to the Portfolio Manager.
Queries and day-to-day trials administration
- Monitor routine study correspondence, maintain action trackers and follow up administrative queries from sponsors, monitors and colleagues.
- Help coordinate responses to data or document queries, referring clinical matters and decisions to the appropriate research nurse, clinician or Principal Investigator.
- Support appointment arrangements, study calendars, document preparation and other practical administration for participant visits.
- Keep trial trackers and records accurate and up to date, including key dates, activity and outstanding actions.
- Support the preparation for sponsor monitoring visits and audits by organising essential documents, tracking findings and following up agreed actions.
Patient-facing work and development
- Provide a helpful and professional point of contact for research participants, including non-clinical communication and practical support around visits.
- As training and experience develop, assist with agreed aspects of research visits where appropriate, under supervision and within documented delegation and competency.
- Complete relevant induction and research training, including Good Clinical Practice (GCP), and work in accordance with confidentiality, data protection and research quality requirements.
CRDC administrative support
- Provide occasional practical administrative support to the CRDC team, such as organising meetings, maintaining records, preparing documents and collating information.
- Work with the Portfolio Manager and CRDC Programme Coordinator when shared activities need support. The main focus of the post remains Mereside clinical trial administration.
Development within the role
We expect this role to grow as you gain experience. Initially, you will work closely with the Portfolio Manager to learn our systems, research procedures and the study lifecycle. Over the first 6 to 12 months, the aim is for you to become increasingly confident in managing the administration of allocated studies, with appropriate guidance and oversight.
Take increasing day-to-day responsibility for study start-up trackers, document collection, site activation requirements and routine sponsor follow-up.
Maintain financial records and payment trackers for allocated studies, prepare invoices and follow up outstanding payments within agreed processes.
Coordinate routine vendor arrangements and help keep study files, monitoring records and audit preparation up to date.
Develop into a dependable point of contact for routine study administration, while escalating clinical, contractual and regulatory decisions to the appropriate lead.
There may also be opportunities to develop broader study coordination and patient-facing support skills, depending on your interests, training and competency. This is a role with room to grow, not an expectation that you arrive knowing how to do everything.
You should have or be
- Strong administration and organisational skills, with the ability to manage several tasks and deadlines at once.
- Careful and methodical, with excellent attention to detail, particularly when handling records, dates and financial information. Confident in numeracy and analytical skills.
- Comfortable and experience in using Microsoft Office, especially Outlook, Word and Excel, and willing to learn specialist research systems.
- A clear and courteous communicator, able to deal professionally with colleagues, external organisations and patients.
- Able to work both independently on agreed tasks and collaboratively within a busy team, recognising when to seek advice.
- Trustworthy and discreet, with an understanding of the importance of confidentiality and accurate records.
- Interested in healthcare or clinical research, and willing to learn. A university degree is not required.
This is not meant to be an exhaustive list of duties. The need for flexibility is required and the post holder is expected to carry out any other related duties that are within the employee's skills and abilities whenever reasonably instructed.
