The successful candidate will deliver a comprehensive reception and administrative support service, including answering telephone enquiries, welcoming patients and visitors, managing incoming and outgoing correspondence, and responding to customer queries in a professional manner.

Key responsibilities will include booking, cancelling, and rearranging appointments, using waiting lists and patient tracking systems to schedule outpatient appointments in accordance with Health Board policies. The post holder will also monitor booking performance against key performance indicators and contribute to the smooth running of the service.

Additional duties will include a range of clerical and receptionist tasks such as filing, photocopying, word processing, and document scanning.

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.

We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.

Our services are provided in

  • Four main hospitals: Bronglais Hospital in Aberystwyth; Glangwili Hospital in Carmarthen; Prince Philip Hospital in Llanelli; and Withybush Hospital in Haverfordwest
  • Five community hospitals: Amman Valley and Llandovery hospitals in Carmarthenshire; Tregaron Hospital in Ceredigion; and Tenby and South Pembrokeshire hospitals in Pembrokeshire
  • Two integrated care centres: Aberaeron and Cardigan in Ceredigion, and several other community settings
  • 47 general practices (six of which are health board managed practices); dental practices (including four orthodontic); 97 community pharmacies; 43 general ophthalmic practices; and 8 ophthalmic domiciliary providers
  • Numerous mental health and learning disabilities services

Qualifications and Knowledge

Essential

  • Level 3 qualification (e.g. A levels, AS Levels, NVQ 3) or equivalent demonstrable experience of administrative / office skills and knowledge

Desirable

  • NVQ level 3 in Business Administration.

Language Skills

Desirable

  • Welsh Speaker (Level 1)

Experience

Essential

  • Evidence of administrative experience within a customer focused environment.
  • Experience of IT packages such as Word, Excel and Outlook.
  • Demonstrate an understanding of customer care when liaising with the public on the telephone, electronically and/or face-to-face.
  • Experience and understanding of outpatient services and performance indicators.

Desirable

  • Previous experience working in a healthcare setting, specialising in healthcare appointment making.
  • Previous experience of working as an Audiology Adminstrator / Receptionist.
  • Proven experience of developing administrative processes, analysing information, and report writing.
  • Experience in implementing NHS policies and guidelines relevant to outpatient services.
