We are looking for an administrator to contribute significantly to the smooth running of the practice. By providing a professional, respectful and efficient service, maintaining accurate records and supporting both patients and clinical staff, and help the practice deliver high-quality patient-centred care.

  • Manage patient appointments, bookings and cancellations.
  • Answer telephone calls and deal with patient enquiries professionally and courteously.
  • Register new patients and update patient records accurately.
  • Maintain accurate and confidential patient information.
  • Scan, upload and process incoming correspondence and clinical documents.
  • Liaise with hospitals, pharmacies, community services and other healthcare organisations.
  • Process referrals and follow up outstanding information where required.
  • Assist clinicians and other staff with administrative tasks.
  • Deal with incoming and outgoing post, emails and other correspondence.
  • Maintain filing systems and ensure records are kept up to date.
  • Handle sensitive and confidential information in accordance with GDPR and practice confidentiality policies.
  • Support the Practice Manager with audits, reports and general administrative duties.
  • Follow practice policies, procedures and NHS requirements.
  • Provide a welcoming and professional service to patients.

We are an

extremely friendly and welcoming practice currently consisting of 4 partners (3

of whom are former Longrigg GP trainees), 5 salaried GPs, Nurse

Practitioner and ancillary staff of 20 (mixture of full and part time staff.

We are

committed to training and teaching with three GP trainers currently. We also

teach medical students from Newcastle University at a variety of stages and all

staff are encouraged to be involved with teaching.

We have strong

links within our East Gateshead PCN and look forward to further collaboration

in future. We already have a large team of Community Link Workers, Practice Pharmacists, Pharmacy Technicians, a First contact Physio,Primary Care

Mental Health Worker and paramedic, with other roles currently being developed.

Qualifications

Essential

  • Previous experience in an administrative or customer service role.
  • Good standard of written and spoken English.
  • Good IT and computer skills, including email and Microsoft Office.
  • Excellent communication and interpersonal skills.
  • Good organisational and time-management skills.
  • Ability to prioritise workload and meet deadlines.
  • High level of accuracy and attention to detail.
  • Ability to work calmly and effectively under pressure.
  • Ability to work independently and as part of a multidisciplinary team.
  • Understanding of confidentiality and the importance of protecting patient information.
  • Ability to handle sensitive and confidential information appropriately.
  • Professional, polite and patient-focused approach.
  • Ability to communicate effectively with patients, including those who may be upset, distressed or vulnerable.
  • Ability to follow practice policies, procedures and instructions.
  • Willingness to undertake training and professional development.
  • Reliable, flexible and able to adapt to changing priorities.
  • Commitment to equality, diversity and treating patients with dignity and respect.
  • Awareness of the importance of safeguarding in a healthcare setting.

Desirable

  • Previous experience working in a GP surgery, NHS or other healthcare setting.
  • Experience using GP clinical systems such EMIS.
  • NVQ/SVQ or equivalent qualification in Business Administration, Customer Service or Healthcare.
  • Knowledge of NHS processes and primary care services.
  • Understanding of GDPR, information governance and patient confidentiality.
  • Experience processing referrals, prescriptions and clinical correspondence.
  • Experience maintaining and updating patient records.
  • Experience dealing with hospital departments, pharmacies and other healthcare professionals.
  • Knowledge of safeguarding procedures.
  • Experience handling difficult or challenging situations with patients.
  • Previous experience working in a busy reception or telephone environment.
  • Experience of data entry and accurate record keeping.
  • Knowledge of Quality and Outcomes Framework (QOF) and other GP administrative requirements.
  • Experience supporting audits, recalls and practice projects.
  • Willingness to undertake additional training relevant to the role.
