As part of our friendly administration team, you'll provide the day-to-day support that keeps the practice running smoothly and our patient records accurate and up to date.
Your main duties will include
- Inputting and coding data onto SystmOne
- Processing patient recalls so people are invited in for the right checks at the right time
- Managing the practice inboxes and Accurx admin messages
- Opening, sorting and scanning post, and actioning documents appropriately
- Handling telephone enquiries from patients and other stakeholders
- Preparing forms, invoices and Subject Access Requests for processing
- Sorting, filing and retrieving patient records ready for summarising
You'll work closely with colleagues right across the practice, so accuracy, organisation and good communication really matter. Full training on our systems will be provided, so you don't need prior healthcare experience to thrive in the role.
To provide
administrative support within the administration team and to all members of the
practice team. Ensuring that all information is recorded in appropriate
clinical systems.
Support
duties will include inputting data, care record management, recall processing, scanning,
handling telephone enquiries, email management and post sorting.
Job Duties & Responsibilities
Key
Culling and sorting patient records and letters in
preparation for summarising.
Opening and sorting post.
Managing and maintaining the practices email
inboxes.
Managing the
practices accurx system for admin.
Scanning post/documents and actioning accordingly.
Processing forms.
Digitalisation of clinical records.
Preparing invoices for forms/requests from.
Filing and retrieving paperwork.
Retrieve and re-file records as requested,
ensuring that strict alphabetical order is adhered to.
Ensure correspondence, reports, results etc. are stored or filed in correct
records.
Ensure records are kept neat and tidy and in good
repair with all necessary. information recorded correctly on the outer cover
where applicable.
Provide administrative support to members of the
primary health care team in the following areas ensuring appropriate practice
records are kept up to date
o Billing
and invoices (payable to the Practice)
o Forms/medical
examination requests
o
Prepare Subject
Access Requests for processing.
Ensure that patients are invited for clinical
intervention and assessment as per the practice recall systems

Qualifications
Desirable
- Maths and English GCSE (Grade C or equivalent)
Knowledge and Skills
Essential
- IT literate (including all Microsoft packages)
- Good standard of education

- Articulate and excellent communication skills (verbal and written)
- Accuracy in typing
- Speed in reading and typing documents
